The Quality Systems Coordinator level outlines the responsibilities of a Quality Systems Coordinator. The Quality Systems Coordinator provides general administrative and clerical support in the areas of QMS administration. Processes daily transactions and provides a wide variety of administrative support related to assigned area of responsibilities. This role works in collaboration with the Manager, Quality Systems and department management personnel on QMS work activities. This role serves as an administrative contact on current and potential projects. Exercises judgment with defined procedures and practices to determine appropriate action. Accountable for performing job responsibilities safely, resulting in achieving the required quality standards and on-time delivery services. This position reports to the Manager, Quality Systems.
What You Will Do:
- Understanding and following MPG Quality Management System, the Quality Policy, Corporate Objectives and/or department goals, and quality workmanship in all duties.
- Comply with all quality, safety, and work rules and regulations. This includes the areas of program support, policy and procedure management, and data reporting and analysis.
- Actively assists multiple departments with data entry for Corrective Action System entries.
- Assists with development and implementation of data systems to track multiple Quality System area responsibilities for monitoring and reporting.
- Monitors dispositions actions such as scrap, reprint, etc., to ensure completeness of action has occurred and is properly assigned and recorded per Q.M.S. requirements.
- Assists with recording of non-compliances affecting quality system metrics to help maintain kpi’s.
- Assist in collecting, organizing, and maintaining structured datasets related to quality metrics and audit findings.
- Support the creation of dashboards and visual reports using tools like Excel, Power BI, or SharePoint.
- Perform basic data analysis to identify trends or anomalies in quality system performance.
- Help maintain and troubleshoot data entry issues in quality management software or databases.
- Support onboarding and training new users on document control systems and data entry protocols.
- Document standard operating procedures (SOPs) for data-related tasks to ensure consistency and accuracy.
- Participate in continuous improvement initiatives by suggesting enhancements to data workflows and reporting formats.
- Prepare and organize data for internal and external audits, ensuring completeness and accuracy.
- Maintain audit trails and version control for quality documents and records.
- Liaise with IT or data teams to ensure proper integration of quality data systems.
- Coordinate with production and engineering teams to gather data for continuous improvement projects, root cause analysis, and corrective action determination.
- Assists with Quality Management System document updating and control of revisions.
- Creation, maintenance, control, and communication of Quality System documents for use
- Initiates and maintains improvements made to the Document Control System Library.
- Creation and management of Quality System kpi’s per Quality management requirements.
- Gathering and reviewing physical documented evidence & records, and saving in electronic file format.
- Assists with process mapping investigation, research, and interviewing.
- Participating in company and customer meetings representing the Quality Systems department, as needed.
- Follows all company policies, security protocols & procedures, standard operating procedures, work instructions, and ISO requirements.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
- May be required to perform duties outside of their normal responsibilities from time to time, as needed.
What You Will Bring:
- Requires a High School diploma or equivalent.
- Requires a minimum of 1 year of relevant experience working in an ISO environment.
- Ability to read or understand information related to work activities.
- Proficiency in using the intranet, and management information systems (MIS).
- Basic SQL or database querying.
- Advanced Power BI skills.
- Effective proficiency in using email, Microsoft programs (Word, Excel, PowerPoint, SharePoint, Outlook), and Adobe Acrobat software.
- Effective customer service and interpersonal skills, detailed oriented, organizational, problem-solving, and decision-making skills.
- Ability to communicate clearly, orally and in writing.
- Ability to manage multiple priorities in a fast-paced environment.
- Must be able to perform simple mathematical calculations – addition, subtraction, multiplication, division.
- Ability to secure Internal Auditor certification and actively participate in the internal audit program.

- Must have depth perception
- Must have good color perception and be able to distinguish basic colors
- Precise hand/eye coordination
- Must be able to distinguish normal sounds with some background noise
- Must be able to read, write, and speak in English. Ability to read, write, and speak in Spanish is a plus
Work Environment
- Primarily working in an office setting which is normally within a controlled temperature setting environment and low noise levels.
- When walking on the production floor or any other area that requires use of personal protective equipment (PPE), the employee may be advised or required to use PPE which may include, but not limited to: ear protection, eye protection, lifting equipment, issued high-visibility safety vest, and safety shoes.

Authorized to perform internal audit activities and create internal audit reports provided that appropriate internal auditor certification training has been attended.
