Position Summary
The Marketing and Business Development Administrator plays a central role in keeping Redpath’s marketing and business development initiatives moving forward with organization, clarity, and quality. This position supports both the Marketing and Business Development teams—approximately 50–60% business development coordination and the remaining percentage is marketing coordination.
The right person thrives on project management, communication, and collaboration. You’ll manage data, details, deadlines, and the team members that fuel growth—ensuring our teams have what they need to succeed.
Responsibilities
-Business Development Coordination (50–60%)
- Maintain and update the firm’s pipeline tracking system, including new opportunities, next steps, win/loss data, and allocation tracking. Gather information and prepare weekly pipeline reports.
- Collaborate with team leaders to keep individual business development scorecards current with pipeline, referrals, and proposal activity.
- Look to identify pipeline and scorecard process improvements.
- Coordinate proposal and pursuit processes—assemble content from pre-approved content and templates, proof-read, route for approvals, and oversee the print/bind, mailing, and/or digital delivery.
- Prepare scouting research reports for new client meetings.
- Support prospect management by collecting and entering data from pursuit forms and pricing requests into appropriate CRM and ERP systems.
- Participate in the BD and the Marketing L10 meetings to identify and track action items, send meeting summaries.
- Provide administrative coordination for events and sponsorships, including digital and on-site registration, attendee coordination, and follow-up reporting.
- Assist with CRM maintenance (Interaction and HubSpot): update records, run reports, and ensure data accuracy.
- Support quarterly industry planning meetings with agendas, reporting, and follow-up documentation.
- Prepare and distribute new win announcements and maintain accurate allocation data for reporting.
- Track and manage expenses and maintain budget.
-Marketing Coordination (40–50%)
- Support execution of marketing activities, events, and communications.
- Assist in content coordination, approvals, and proofing.
- Manage the firmwide newsletter (every two months) to gather information from departments, draft content, collect photos, and collaborate with marketing team for publishing.
- Support social media content posting.
- Act as primary liaison with Client Managers for marketing actions such as client surveys and testimonial requests.
- Track and report event ROI and budgets, including credit card reconciliations, industry spend tracking, and inventory management for branded materials.
- Manage marketing-related logistics—logo merchandise coordination, inventory and distribution of promotional materials, and marketing closet organization.
- Coordinate team event logistics (for association and firm-hosted events) including registrations, confirmations, exhibit logistics, and attendee communication.
- Assist with CRM and email list management to maintain data accuracy.
- Support marketing reporting, analytics, and meeting preparation for leadership.
- Track and manage expenses and maintain budget.
What You'll Need to be Successful
- Bachelor’s degree in marketing, communications, business, or related field preferred.
- 5+ years of experience in marketing, sales, or professional services administration.
- Proficiency with Microsoft Office (Excel, PowerPoint, Word, Teams); strong Excel, PowerPoint, and project-tracking skills required.
- Excellent writing, editing, and proofing skills.
- Experience with CRM systems (such as Interaction or HubSpot) a plus.
- Experience with design tools (such as Canva, Illustrator, or InDesign) a plus.
- Familiarity with professional services, public accounting, or B2B preferred.
- Detail-oriented, proactive, and comfortable working both independently and collaboratively in a fast-paced environment.
