POSITION MISSION
We are seeking a Private Client Relationship Associate, a perfectly suited role for individuals who excel at the intersection of client service, wealth management operations, and fiduciary expertise. ESSENTIAL DUTIES AND RESPONSIBILITIES
Client Service & Operations Excellence
- Demonstrate expertise in client service operations, ensuring smooth execution of tasks related to managing client portfolios, account administration, and project oversight
- Commitment to operational excellence will be crucial in maintaining client satisfaction and process efficiency
Onboarding & Implementation
- Lead the onboarding of new clients by managing account and service implementation
- Ensure that all onboarding actions—such as custodian selection, document collection, account opening and funding, online enrollment, and fee arrangement implementation—are completed with accuracy and attention to detail
- Communicate regularly and clearly about onboarding processes to keep all stakeholders informed and tasks on track
Relationship Management
- Cultivate and maintain strong, long-term relationships with clients by providing attentive, high-touch service and proactively addressing their needs
- Serve as a trusted partner to both clients and their outside advisors, such as accountants and attorneys, ensuring prompt and accurate handling of their requests
Collaboration & Process Improvement
- Engage and collaborate with peers to discuss and enhance client communication, streamline processes, and promote best practices across the team
- Work alongside Portfolio Management, Strategic Advisory, and Operations teams to deliver a unified, high-quality client service experience
- Contribute to ongoing business improvement initiatives and participate in ad-hoc projects as needed
Specialized Responsibilities
- Review and interpret complex documentation related to account structures, trusts, LLCs, and FLPs
- Coordinate gifting activities, including cash and in-kind gifts, and produce necessary documentation such as gift letters and Crummey notices
- Understand advisory fee calculations and ensure the correct implementation of fee arrangements for each client
- Coordinate and attend client meetings which drive client experiences; including putting together agendas and materials to assist the advisor to represent the full scope of services
- Collect, analyze, and maintain data within CRM and other firm systems; ensure ongoing data integrity for our clients and prospects
- Oversee financial/portfolio transaction requests to include capital calls, distributions, and trades to confirm for accuracy

Knowledge, experience, skill, and/or ability
Required
- Minimum of three years of client service experience in the financial services sector
- Ability to handle confidential information with discretion and integrity
- Demonstrated capability to manage multiple client service functions, supported by strong organizational and project management skills
- Exceptional communication and interpersonal abilities, with a passion for building relationships and providing outstanding client experiences
- Proven skill in establishing rapport and trust with clients and their external advisors
- A proactive mindset with a dedication to continuous improvement and team collaboration
- Highly organized approach and attention to detail
- Excellent verbal and written communication skills
- Proficiency in using systems and processes to enhance efficiency and accuracy
Preferred
- Experience working with a CRM system
Computer skills
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and MS Outlook required
Education/experience/certifications
- Strong academic credentials, including a bachelor's degree in finance or accounting
 required
- Enrollment in or completion of the Certified Financial Planner program is a plus
SALARY RANGE: $90,000 -$120,000 on an annual basis
SALARY DETAILS:
 
Pay will be based on multiple factors, including, and not limited to location, relevant experience/level and skillset while balancing internal equity. Our discretionary bonus program is in addition to the base compensation range listed above.
