Summary: Staff designated at Dickinson Wright PLLC (“the Firm”) as an Immigration Intake Coordinator works as part of a team providing case initiation and general administrative support to legal teams in preparation of immigration casework and filings. The Intake Coordinator will be primarily responsible for various steps ensuring the case file is open, accurate, complete, and meets filing deadlines. Strong attention to detail and organization is required.
Essential Duties and Responsibilities:
Essential duties and responsibilities of staff designated as Immigration Intake Coordinator at the Firm include but are not limited to:
• File Opening, Closing and Maintenance (Shared with Secretary):
o Manage new case initiation processes, including document intake from client emails, from LawLogix/Tracker, and/or from Kiteworks;
o Create electronic files for new cases;
o Sort, download, assemble and organize all case materials in internal system databases;
o Perform general electronic file up-keep of case information including uploading documents to internal systems.
• Mail Processing:
o Contact clients to confirm delivery address;
o Send basic case status updates to clients;
o Support preparation of transmittal letters.
• Database Maintenance and Reporting:
o Update data in immigration software systems;
o Prepare and review internal and external periodic reports on upcoming status expirations, priority dates, etc;
o Assist clients with portal login credentials and use;
o Close files in immigration software systems.
• Case Filing Support (shared with Immigration Case Coordinators):
o Review questionnaires for completeness;
o Enter basic information into immigration case management system;
o Provide general administrative support to legal teams, including but not limited to compiling support documents and drafting forms/assembling packages under the supervision of an Immigration Case Coordinator;
o Monitor and calendar deadlines;
o Request translations and education evaluations;
o Respond to routine queries from clients regarding questionnaires, documentation, etc. Escalate to Attorney and/or Immigration Case Coordinator as needed;
o Ensure all documentation is collected, complete and returned timely. Follow-up with nonresponsive employees/managers; escalate as needed and close cases as appropriate.
Qualifications, Skills and Abilities Required:
Immigration Intake Coordinator must:
- Bachelor’s degree and paralegal certificate preferred. A combination of education and experience equivalent to a Bachelor’s degree that demonstrate competency to perform the essential duties of the role will also be considered;
- Experience with immigration databases is also preferred;
- Proficiency in Microsoft Office, Outlook, Excel, and PowerPoint;
- Excellent organizational and analytical skills, attention to detail and high quality standards;
- Ability to multi-task in a fast-paced environment with competing demands;
- Ability to handle heavy workloads and high-volumes of case management;
- Ability to prioritize workload and meet deadlines;
- Proactive approach to tasks;
- Positive attitude and desire to be an effective team member.
Working Conditions:
Normal law office environment with little exposure to noise, dust, temperature.
