The Compliance Specialist supports the day-to-day operations of the Compliance Department which includes but is not limited to maintaining regulatory and accreditation standards by coordinating compliance training, assisting with audits, and supporting risk assessment and mitigation activities. This position plays a critical role in promoting a culture of compliance across the organization by ensuring timely communication, accurate documentation, and effective follow-through on compliance-related activities. The role requires attention to detail, strong organizational skills, and the ability to handle sensitive information with discretion and professionalism

Essential Functions:

  • Coordinate and track mandatory compliance training programs for employees, contractors, and vendors.
  • Ensure timely assignment and completion of training modules.
  • Maintain accurate records and assist in developing or updating training materials.
  • Assist in conducting compliance risk assessments to help identify and mitigate areas of potential regulatory or operational risk.
  • Collect and organize risk-related data and track mitigation activities.
  • Support the development, monitoring, and documentation of the Annual Compliance Work Plan, ensuring tasks and initiatives are tracked and completed on schedule.
  • Assist in NCQA survey readiness efforts:
    • Help maintain documentation, records, and evidence required for NCQA standards.
    • Support cross-functional teams in preparing for audits and responding to surveyor requests.
  • Support the Compliance Officer (CO) in managing the Compliance Committee, including:
    • Scheduling meetings, preparing agendas, and documenting minutes
    • Coordinating follow-ups and tracking open action items
    • Track and help prepare external compliance reports to regulators, payers, and accreditation bodies (e.g., HIPAA breach reporting, exclusion screenings, audit responses).
    • Assist with internal audits, reviews, and investigations under the direction of senior compliance staff.
    • Help maintain and update internal compliance policies, procedures, and the Code of Conduct.
    • Track and help investigate compliance issues, complaints, and incidents as needed.
    • Monitor updates to regulations and assist in communicating changes internally.
    • Provide administrative and project support to the Compliance Department, including data entry and report generation.
    • Other duties as assigned.

Education, Experience, and Licensure Requirements:

  • Bachelor’s degree in Healthcare Administration preferred , Public Health, Legal Studies, Business Administration, or a related field required.
  • Minimum of 2 years of experience in healthcare compliance, regulatory affairs, or a similar role required.
  • Familiarity with healthcare regulations and standards including HIPAA, CMS, NCQA, and OIG guidelines strongly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required.
  • Experience with learning management systems (LMS), compliance tracking tools, or risk management platforms is a plus.
  • Strong organizational, analytical, and communication skills.
  • Demonstrated ability to manage confidential and sensitive information with integrity.

Physical and Environmental Demands:

  • Works in a clean, well-lit environment with fluctuating temperatures in close proximity to others.
  •  Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse.
  • Requires lifting and carrying equipment and supplies weighing up to 35 pounds; requires pushing and pulling equipment and supplies weighing up to 35 pounds; requires walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to navigate stairs; requires visual acuity and manual dexterity to operate equipment.
