Job Title: Administrative Assistant – Business Development

What You’ll Do:

  • Coordinate conferences & tradeshows (registrations, logistics, booth setup, travel, and follow-up).
  • Organize and manage marketing materials, inventory, and vendor orders.
  • Handle membership applications, renewals, and recordkeeping.
  • Manage shipping logistics for events and marketing needs.
  • Run and distribute proposal update reports for leadership and the Business Development team.
  • Read and interpret project descriptions to identify and extrapolate key details needed to complete required forms and documentation.  Enter and review accurate data in all databases, spreadsheets and Project Management systems.
  • Provide administrative support by scheduling and organizing documents for meetings, preparing correspondence on behalf of the organization, providing back up for other Business Development staff and other administrative related tasks.


What We’re Looking For:

  • 2+ years of administrative, event coordination, or marketing support experience.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office; CRM/Vantagepoint experience a plus.
  • Excellent communication skills and the ability to manage multiple priorities.


Qualifications

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • 2+ years of administrative or office support experience, preferably in business development, marketing, or event coordination.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Vantagepoint or similar CRM/project management software a plus.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects, meet deadlines, and work independently or as part of a team.
