Job Description:

Salary Range: $60,000 - $90,000 per year; DOE

Mary Lou Fulton College seeks a professional administrator for the position of Executive Assistant to the Dean. This role is crucial for managing the Dean's daily business affairs, handling sensitive information, and serving as a key liaison for internal and external communications. The ideal candidate is a proactive problem-solver with exceptional organizational and communication skills, capable of managing a dynamic workload in a fast-paced academic setting.

Essential Duties:

  • Executive Support: Manages the Dean's daily business affairs, including the intricate scheduling and maintenance of their calendar.
  • Scheduling and Coordination: Coordinates and schedules meetings on behalf of the Dean, ensuring all necessary parties are engaged and informed.
  • Liaison Services: Serves as a primary liaison to various administrative offices, university leadership, faculty, and external stakeholders.
  • Travel Management: Coordinates and arranges all aspects of the Dean's business travel, including itineraries and logistics.
  • Confidential Materials: Compiles, prepares, and handles confidential and sensitive materials with the utmost discretion.
  • Project and Event Coordination: Coordinates a wide range of projects and special events, ensuring successful execution from start to finish.
  • Special Assignments: Performs a variety of special assignments and tasks as directed by the Dean.

Desired Qualifications:

  • Bachelor’s degree in business, education, or a related field, and five (5) years of related work experience.
  • Knowledge of academic and administrative policies and procedures.
  • Proven ability to exercise sound judgment and problem-solving skills in complex situations.
  • Skill in developing and maintaining effective working relationships with diverse groups.
  • Ability to design compelling presentation materials and tailor communication to the audience.
  • Experience coordinating and organizing meetings and special events.
  • Experience creating, composing, and editing written materials.
  • Knowledge of university organizational structure.
  • Knowledge of management and supervisory principles and practices.
  • Experience making administrative and procedural decisions and judgments on sensitive, confidential issues.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills, with the ability to manage multiple priorities in a fast-paced, service-focused environment.
  • Experience interpreting University and Arizona Board of Regents policies.
  • Strong command of English composition, grammar, spelling, and punctuation.

Working Environment:

  • This position is located in-person on ASU’s Tempe campus
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
  • Bending, reaching, lifting, pushing and pulling up to 25 pounds.
