    Job Description:

    The Executive Assistant provides comprehensive support to the Vice Presidents (VPs) for the Latin, European, Middle Eastern (LEM) departments as necessary for the successful operation of their respective teams and functions as a liaison for the department(s) with overall general administrative needs. 

    Job Responsibilities (including but are not limited to):

    • Provides administrative support to assist department(s) VPs and administrative duties while coordinating and maintaining effective office procedures for efficient workflow.
    • Maintains a close and responsive relationship with the day-to-day activities of the department(s) and the vice president(s) in which they support.
    • Performs general clerical duties including photocopying, faxing, scanning, mailing, and filing.
    • Interfaces with staff with an elevated level of confidentiality and exercises discretion with integrity in the handling of confidential material.
    • Prepares various spreadsheets, presentations, and general correspondence.
    • Compiles and tracks reports on information relevant to special project assignments
    • Answers, screens, confirm appointments, and routes executive phone calls in a highly professional and timely manner while adhering to proper telephone etiquette.
    • Receives and manages guest complaints with an elevated level of customer service etiquette and a sense of urgency ensuring the proper personnel are given detailed and accurate reports of guest incidents.
    • Organize and manage calendars, meeting invitations, coordinates and confirms meeting arrangements.
    • Plan, coordinate, and arrange travel plans.
    • Facilitate accommodation and entertainment arrangements for guests upon request.
    • Input reservations into the appropriate computer systems and applications, review guest folios, and process check-outs daily, including closing/reviewing in Customer Relationship Management systems (CRM) tasks.
    • Confirm all room bookings, restaurant reservations, credit lines, and any other guests’ requests for the following day.
    • Create and update guest itineraries.
    • Complete and processes reports.
    • Maintains office supply inventory and places orders on demand.
    • Keeps informed of all new company-wide initiatives and administrative developments.
    • Manages multiple priorities simultaneously to meet deadlines, often in stressful and high-pressure situations.
    • Support of Independent Agent programs as needed.
    • Greet guests on the Casino/Hotel floor when necessary.
    • Provides on-boarding support for new team members through hiring, scheduling, and training of systems and policies.
    • Reviews and updates when needed departmental training materials.
    • Supports team member engagement activities and requests.
    • Performs various projects, ensures timely follow-up, anticipates administrative needs, and manages other duties assigned by department leaders. 
    Qualifications:
    • At least minimum of three (3) years of administrative work experience in support of department, Executive or similar; preferably in a high volume, luxury hotel/resort
    • Excellent professional verbal and written communication skills in the English and Spanish language required and ability to maintain superior professional appearance and demeanor
    • Advanced computer skills and proficiency in Microsoft office (Word, Excel, and PowerPoint)
    • Must be a self-starter with the ability to work independently, prioritize workload, and manage time efficiently in a fast-paced environment
    • Exceptional organizational, interpersonal, and administrative skills, with excellent attention to detail, able to multi-task and work well under high pressure situations.  Must be a logical thinker and remain calm while resolving problems using good judgement
    • Strong communications skills
    • Must be able to meet deadlines efficiently and work independently without constant supervision
    • Must be 21 years of age or older
    • A valid Nevada Gaming License is required and must be obtained before commencing the position
