POSITION SUMMARY

Technical Systems Integration (TSI) seeks a Junior-Level Management Analyst to support the Naval Surface and Mine Warfighting Development Center (SMWDC) Front Office at Headquarters in San Diego, CA. This administrative support role provides critical executive assistance to senior leadership, including calendar management, travel coordination, correspondence preparation, and administrative coordination for meetings, conferences, and briefings. The successful candidate will serve as the primary administrative coordinator, ensuring seamless Front Office operations and supporting the SMWDC Commander and senior staff in executing their strategic mission.


ESSENTIAL FUNCTIONS

Front Office Administrative Support

-Provide comprehensive administrative coverage for the Front Office, including coordination of meetings, conferences, and briefings

-Manage day-to-day Front Office calendar operations, ensuring all planned and non-planned urgent administrative functions and tasks are completed

-Coordinate administrative logistics for senior leadership meetings and events

-Serve as the primary point of contact for Front Office administrative requirements and scheduling


Correspondence & Documentation Management

-Carry out various administrative functions and tasks for Front Office, including correspondence preparation and management

-Prepare and coordinate military evaluations, fitness reports, and performance documentation

-Draft and edit clear, concise, and professional emails, memorandums, reports, and other administrative documents

-Maintain document version control and ensure proper distribution of Front Office correspondence


Travel Management & Coordination

-Serve as principal travel manager for Front Office personnel, preparing and completing travel requirements

-Demonstrate proficiency with Defense Travel System (DTS), including travel authorization, voucher preparation, and expense management

-Apply knowledge of Joint Travel Regulations (JTR), ensuring compliance with government travel policies

-Coordinate complex travel itineraries, accommodations, and logistical support for senior leadership


Awards & Recognition Coordination

-Coordinate and prepare military awards, decorations, and recognition documentation

-Manage awards timeline and ensure proper processing through appropriate channels

-Maintain awards database and tracking systems for Front Office personnel

-Coordinate with Personnel Support Activity and other organizations for awards processing


Schedule & Task Management

-Maintain detailed calendars for Front Office leadership, managing competing priorities and time-critical requirements

-Track deadlines and ensure timely completion of administrative tasks and deliverables

-Coordinate meeting logistics, including room reservations, participant notifications, and material preparation

-Manage multiple simultaneous projects and administrative requirements with attention to detail

Requirements

REQUIRED QUALIFICATIONS

Experience:

-5+ years of experience in analytical, problem-solving, time-management, and interpersonal skills

-Demonstrated experience in administrative support, preferably in military or government environments

Required Technical Skills:

-Proficiency with Defense Travel System (DTS) and knowledge of Joint Travel Regulations (JTR)

-Advanced proficiency with Microsoft Office Suite, including Outlook calendar management, Word document preparation, and Excel spreadsheet management

-Experience with military administrative systems and processes

Required Competencies:

-Excellent verbal and written communication skills

-Ability to write clear, concise, and professional emails, memorandums, reports, and other documents

-Detail-oriented with ability to manage schedules, track deadlines, and prioritize tasks effectively

-Strong organizational and multitasking capabilities in a fast-paced environment


PREFERRED QUALIFICATIONS

Technical Expertise:

-Experience with additional government travel and administrative systems

-Knowledge of military awards and evaluation systems

-Familiarity with Navy correspondence and administrative instruction formats

Domain Knowledge:

-Understanding of military organizational structure and protocol

-Knowledge of Navy administrative processes and personnel management systems

-Familiarity with executive support functions and senior leadership requirements

Professional Background:

-Previous experience supporting military or government senior leadership

-Background in executive administrative support or similar high-level coordination roles

-Experience with meeting planning, event coordination, and logistical support

COMPLIANCE REQUIREMENTS

-Security Clearance: SECRET (current and active)

-Citizenship: U.S. Citizenship required

-Background Check: NCIS background check required

-Travel Requirements: Limited travel

-Detailed organizational work involving schedule management and administrative coordination

-Ability to attend meetings and coordinate with various organizational levels
