SUMMARY
The Administrative Assistant I will primarily perform reception and administrative support duties for Administrative Services.
Position Duties
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: (Other duties may be assigned.)
- Responsible for answering the Court Administration telephone line, directing calls to the appropriate party when necessary. Answer inquiries that require general knowledge of departmental and Court procedures. Makes referrals to other departments, agencies or outside entities as appropriate.
- Provide customer service as receptionist and liaison with the public and other Court personnel. Greets all individuals and address their questions and requests promptly and professionally. Provides primary front desk coverage for Administrative Services office, except when assigned elsewhere by the Office Manager (or other departmental management staff in absence of Office Manager).
- Completes administrative support tasks in a timely, accurate and professional manner. Administrative support tasks assigned may include, but are not limited to, composing correspondence, forms and other documents, photocopying, faxing, filing, preparing mailings, sorting mail, e-mailing, assembling packets/binders and other tasks of an administrative support nature.
- Uses Microsoft Office Suite or MS365 proficiently in completing tasks assigned. Utilizes other Court software programs as needed to complete tasks and answer inquiries.
- Order and maintain supplies for Administrative Services Office. Process and place online supply orders for Court departments. Maintain office supply tracking database. Place City Print Shop orders.
- Responsible for tracking usage of equipment belonging to the Administrative Services Department.
- Provide support to staff members when needed, and other departmental management to include areas such as finance, human resource, payroll and special Court projects.

Minimum Qualifications
Pleasant and professional manner in dealing with the public and Court personnel. Ability to exercise good judgment, tact and diplomacy. Good written and verbal communication skills. Ability to organize and prioritize duties. Ability to work as part of a team in meeting departmental and organizational goals. Demonstrated proficiency in use of Microsoft Word, Outlook, Access and Excel.

Qualified applicants may be required to submit to testing and provide writing samples. Proof of education and employment references will be required before the final interview. Employment predicated upon successful completion of criminal record check and drug testing required. You'll be considered a probationary employee for your first 180 days of employment.
