Position: Sales Administrative Assistant / Coordinator

 

Are you an organized, detail-oriented professional with a passion for hospitality and sales? The InterContinental Hotel on the Country Club Plaza is looking for a Sales Administrative Assistant/Coordinator to join our dynamic Sales & Marketing team!


? Job Overview

As our Sales Administrative Assistant/Coordinator, you'll be an essential part of the hotel’s sales and marketing operations. You’ll support the sales team in a variety of administrative and client-focused tasks helping to drive results, create memorable guest experiences, and ensure smooth day-to-day sales functions.


What You'll Be Doing

Client Communication

  • Respond to client inquiries about hotel services, rates, and availability.

  • Maintain clear, ongoing communication with clients to ensure satisfaction.

  • Handle client needs and resolve any issues with professionalism and care.

Sales Support

  • Assist in preparing sales presentations, proposals, and contracts.

  • Schedule client meetings and sales appointments.

  • Organize and distribute sales-related documents and reports.

Event Coordination

  • Help coordinate hotel events, meetings, and group bookings.

  • Create group room blocks and manage related reservations.

  • Work closely with departments like Banquets, Catering, and Reservations to ensure seamless event execution.

Database Management

  • Maintain and update client records using our CRM software (CI/TY).

  • Log all sales activity, leads, and client preferences accurately.

Administrative Tasks

  • Perform general administrative duties: filing, data entry, ordering office supplies, etc.


? What You Bring

  • High school diploma or equivalent (Bachelor’s in Hospitality or Business is a plus).

  • Previous administrative or sales support experience, preferably in the hospitality industry.

  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

  • Strong communication, organization, and multitasking skills.

  • A friendly, customer-first attitude and sharp attention to detail.

  • Ability to work both independently and collaboratively with a team.


? Working Conditions & Physical Effort

  • This role includes both administrative work and occasional physical tasks.

  • Physical requirements: standing/walking for extended periods, bending, lifting up to 50 lbs, and use of standard office/hotel equipment.

  • Some tasks may be performed in active hotel areas including event or guest spaces.
