Summary 

The Human Resources Coordinator supports a variety of HR functions with a focus on employee data management, compliance, employee engagement, onboarding, and day-to-day HR operations. This role acts as a key link between administrative support and generalist-level responsibilities, assisting with documentation, system updates, coordination of employee programs, and HR compliance. The HR Coordinator provides responsive and professional service to team members and supports the HR team in delivering accurate, timely, and confidential HR services.

 

Duties/Responsibilities

  • Maintain and audit employee records in the HRIS system, ensuring data accuracy and compliance with policies and procedures.
  • Upload documents (e.g., performance evaluations, corrective actions, training completions, separation paperwork) into electronic personnel files and HR systems.
  • Assist with onboarding processes, including new hire orientation scheduling, paperwork tracking, ensuring completion of new hire documents, and system entry.
  • Process employment changes such as separations, transfers, promotions, and leaves of absence.
  • Prepare separation packets and checklists at the request of HR Generalist or HR leadership.
  • Support and track status of recruitment processes and candidates in collaboration with the HR Generalist.
  • Take meeting minutes and notes during employee relation investigations, ensuring confidentiality and timely documentation.
  • Maintain compliance files (I-9, permits, licenses, etc.), generate reports, and conduct periodic audits.
  • Coordinate and help facilitate team member recognition and engagement programs, events, wellness activities with HR Benefits, surveys and internal communications.
  • Prepare, review, and edit HR-related documentation including memos, letters, and reports.
  • Serve as a point of contact for general HR inquiries from team members and route more complex matters to appropriate HR staff.
  • Assist with reporting, data entry, and generation of recurring HR reports when needed.
  • Support the performance evaluation process by tracking completion, preparing reminders, and entering data as needed.
  • Assist with HR policy updates, form revisions, and maintenance of shared drives and resources.
  • Act as backup for HR Administrative Assistant for functions such as mail distribution, filing, and supply ordering.
  • Maintain and update shared drives, HR forms, and department templates.
  • Support training and meeting coordination, including room setup and material preparation.
  • Participate in cross-functional HR initiatives and projects as assigned.
  • Serve as a backup for the HR Administrative Assistant as needed.
  • Participate in department and committee meeting by taking notes, as requested.
  • Perform special projects and other responsibilities, tasks, or duties as requested.

Education / Qualifications

  • Must be 21 years of age or older.
  • High School diploma or equivalent required; associate’s or bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of two (2) years of experience in a human resources office, or a Human Resources administrative support role required.
  • Experience with HRIS systems and data entry; working knowledge of employment-related documentation.
  • Working knowledge of HR processes and documentation, including terminations, onboarding, and personnel records.
  • Strong organizational skills and attention to detail with the ability to manage multiple tasks and deadlines.
  • Excellent interpersonal, verbal, and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Ability to work independently and collaboratively in a team environment.
  • Must be able to provide evidence of eligibility to work in the United States.

 

Certificates, licenses and registration 

  • Ability to obtain and maintain a valid Soboba Tribal Gaming Commission license. 
  • Required to submit to and obtain negative results on all drug and/or alcohol testing.
