The Reporting and Support Supervisor plays a critical role in supporting parish operations by providing oversight, coordination, and delivery of key financial systems, business leadership training, and reporting processes. This role ensures that parishes, schools, and vicariate leaders have the resources, training, and tools they need to operate effectively and in compliance with Archdiocesan guidelines. The ideal candidate thrives in a service-oriented environment, has a strong background in financial systems (especially QuickBooks Online), and demonstrates leadership in project coordination and team support.

Essential Job Functions

  • Training and Development
    • Schedule, develop, and deliver comprehensive training programs for Operations Directors (ODs), Business Managers (BMs), and Parish Business Leaders (PBLs)
    • Collaborate with DVOs (Directors of Vicariate Operations) and VFMs (Vicariate Finance Managers) to ensure local support alignment
    • Create and maintain training materials and resources in coordination with the Accounting Specialist
    • Oversee and maintain Izzy page with up-to-date training documentation and guidelines
  • Team Support & Escalation
    • Monitor and manage Team Support ticketing system, responding to inquiries and escalating as appropriate
    • Provide exceptional customer service to parish and school leaders requesting support or guidance
  • QuickBooks Online (QBO) Support
    • Act as key contact for QBO users, providing access, technical assistance, and training on system functions (e.g., 1099s, budgeting, reporting)
    • Serve as escalation point for QBO issues and provide one-on-one or group training as needed
  • Communications & Publications
    • Develop and distribute the Parish Operations Weekly Newsletter every Thursday at 12 PM
    • Source and format content from departments; serve as liaison for follow-up and clarification on past or future topics
    • Ensure consistency and accuracy in messaging and formatting
  • Budget Planning & Reporting
    • Lead the coordination and review of parish and school budget submissions
    • Design and host the annual Budget Submission Webinar
    • Manage the Assessment Adjustment Request process, including collaboration with department leads for Parish, P&C, PRMAA, Lease, and Energy assessments
    • Develop and update General Assumption Guidelines
  • Annual Reporting
    • Create and distribute the Annual Report Kickoff Letter
    • Plan and conduct the Annual Report Webinar
    • Oversee submission and processing of annual reports, including review of:
      • Chart of Accounts (CoA)
      • Exceptions (Power BI)
      • Dashboard and Web App issues
  • Epicenter Tasks & Project Management
    • Set up and manage due dates, webinars, and notifications in Epicenter for:
      • Annual Report submission
      • Annual Parish/School Finance & Budget Meetings
      • Budget submission and webinar
      • Assessment Adjustment Requests
  • Policy & Procedure Development
    • Work collaboratively across departments to develop, document, and disseminate clear operational policies, procedures, and guidelines
    • Identify and implement continuous improvements to support parish operations and compliance
  • Other duties as assigned

Job Requirements

  • Bachelor's degree in accounting, Business Administration, or a related field
  • Minimum 5 years’ experience in financial reporting, parish/school operations, or equivalent setting
  • Proficiency in QuickBooks Online and Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Exceptional organizational, written, and verbal communication skills
  • Ability to manage multiple projects and deadlines with attention to detail
  • Experience working in a Catholic parish, school, or similar nonprofit setting a plus
  • Service-oriented mindset with a commitment to the mission of the Archdiocese
  • Strong analytical and problem-solving skills
  • Ability to teach and communicate technical concepts clearly to non-technical users
  • Collaborative, flexible, and responsive approach to working with diverse stakeholders
  • Commitment to confidentiality and professional integrity

Preferred Job Skills and Experience

  • Master’s degree preferred
  • Bilingual (Spanish & English) is highly preferred

This position has an annualized salary range of - $66,875.80 - $83,594.75.  An employee’s pay within the salary range will be based on many factors including but not limited to: relevant education, qualifications, experience, skills, geographic location, and organizational needs.
