About the Department
An Executive Assistant performs work of moderate to high difficulty in carrying out administrative and general office duties. This position screens sorts and distributes incoming mail and deliveries. Proactively and calmly troubleshoots issues, anticipates needs, and at times deescalate situations. This individual must possess the ability to balance and prioritize workload on short notice. Must have a drive for process improvement and be self-starter who works under minimal to no supervision.
Hours of Work
Monday through Friday 8am-5pm
Position Duties
Prepare and maintains varied records, statistics and reports regarding operations, personnel, and other functional needs
Prepare and distribute, weekly, monthly and yearly reports for department heads as well as judges
Assist management with various projects
Coordinate annual seminars and conferences registration (including (but not limited to booking hotel, scheduling travel arrangements) for management and team members
Screen sorts and distributes incoming mail and deliveries for the Division
Answers and screens Division internal and external incoming, email, faxes and phone calls
Maintains inventory of first aid equipment and orders supplies as need
Assists in the budgetary process (including (but not limited to obtaining quotes, preparing and processing supply orders for several units within complex)
Attend meetings to effectively; keep, format and distribute minutes as needed
All other duties as assigned
Minimum Qualifications
Possess strong communication skills
Possess the ability to effectively problem solve
Ability to effectively follow directions and work in a fast-paced environment
Ability to maintain confidentiality and multitask
Possess strong knowledge in Microsoft Office suite products (Word, Excel, PowerPoint, Access, Outlook and Teams), as well as Zoom
Education and/or Work Experience Requirements (Ed and/or Other Requirements):
Requires an Associate Degree or equivalent training in general business
Minimum of four years of related experience
Advanced typing skills (60+ wpm w/minimal errors)
Must be able to do an extensive criminal background check; and requires possession of a
Valid driver’s license, supplemented by a satisfactory driving record
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer
Must be able to lift up to 25 pounds on a as needed basis
Moderate ability to operate office equipment.
