Job Overview
The Executive Assistant is a cross-functional administrative support role reporting to the Head of FO for North America. The administrative functions are provided to certain assigned members of the FC Management team (defined herein as “Assignee’s”), as directed.
Responsibilities
• Manage and maintain Assignee’s business calendar by considering urgency and relevance of requested time commitments
• Coordinate and organize meetings and conferences, including booking and preparing meeting rooms, ordering catering and other related activities for Assignees.
• Manage Assignee’s travel bookings and agendas, expense reporting, event planning and other related / similar support functions.
• As required, compile documentation/reports/presentations (both routine and ad hoc), assist in the preparation or collation of documents and presentations, etc.
• Prepare various professional communications as directed
• Prepare timely and accurate meeting minutes as required
• Maintain Master departmental calendar of events, key deliverables, milestones etc.
• Support in the management of various projects, as directed
• Support Assignee’s in the management of department finances, including reporting, cross department charging, invoicing and coordination with appropriate business units to ensure all budget targets are met and properly accounted for. Act as subject matter expert of purchasing and contract routing processes, manage these processes for projects/vendors
• Organize and prepare social departmental events for the division incl. but not limited to Town-Hall Meetings, Dealer/Supplier visits and Offsite events
• Other activities and responsibilities as directed by manager
Qualifications
Education
Accredited school or equivalent work experience
Experience & Capabilities
• Must have minimum 1 - 3 years of experience in the following:
o Administration: Comprehensive Knowledge of administrative procedures, process / project assistance and systems
o Experience with event planning, travel management, expense reports and corporate card administration
o Purchasing: General Knowledge of acquisition techniques that minimize costs for products or services, vendor management
o Budget management and reporting
• Expert proficiency in Microsoft Office is a must (PowerPoint, Excel, Word and Outlook focused)
• Proven ability to protect confidential information and distinguish between what is ‘Secret’, ‘Confidential’ vs. what may be shared with a broader audience, internal and / or external
• Proven Customer Orientation
• Polished collaboration and communication skills
• Demonstrated independent decision making to assess and prioritize topics & requests and either resolve, mitigate or delegate appropriately
• Demonstrated attention to detail
• Demonstrated organizational and multi-tasking skills
• Ability to act independently where process/procedure/guideline does not exist; self-reliant and resourceful
• Ability to work cross-functionally, across international borders and staff/management levels
• Resiliency in working under time and political pressures
• Ability to work in a team and resolve conflicts

• Demonstrated ability utilizing project/collaboration tools such as TEAMS, Skype, Zoom, WebEx, Vevox, Slack, Threema, SharePoint, Kanbo, etc
• Fluent English language skills and demonstrated USA cultural knowledge
• Automotive/retail knowledge is a plus
• German language skills is a plus
