Job Description
About the Role:
We are seeking an experienced Office Administrator to help support the daily operations of our Transportation and Warehousing in our Houston office locations. As the Office Administrator, you will be responsible for ensuring the smooth running of the office, managing administrative tasks, and providing support to the team. Your major end result will be to maintain a productive and efficient work environment that meets the needs of our clients and employees, and other duties as assigned to support the overall effectiveness of the office.
Minimum Qualifications:
- High school diploma required, associate degree in business administration or a related field preferred
- Basic computer proficiency, including Microsoft Office (Word, Excel, Outlook)
- Excellent organizational and time-management skills.
- Attention to detail and accuracy in data entry and documentation
- Ability to work independently and as part of a team
- Ability to prioritize tasks in a fast-paced environment
- Professional demeanor and ability to interact with drivers, warehouse staff, and management
Preferred Qualifications:
- Experience in an office setting, preferably in a warehouse, logistics, or transportation environment
- Knowledge of shipping/receiving processes and related documentation
- Ability to multi-task and adapt to changing priorities
- Strong problem-solving skills and ability to handle routine issues independently
- Basic understanding of compliance and safety documentation (BOLs, delivery logs, etc.)
Responsibilities:
- Support daily office operations, including answering phones, responding to emails, and greeting visitors or drivers
- Indexing Documents: Review and analyze documents, records, or data to determine relevant keywords, categories, or metadata for indexing.
- Order and maintain office supplies and basic warehouse forms or materials
- Coordinate small-scale events or meetings, including team lunches, safety meetings, and orientation
- Data Entry: Enter indexing information, such as keywords, subject classifications, dates, and document types, into databases or indexing systems
- Classification: Assign appropriate classifications or categories to documents or data, ensuring accurate sorting and retrieval.
- Data Retrieval: Assist users in locating and retrieving specific documents or data by providing search assistance or guidance.
- Documentation: Maintain records and documentation of indexing activities, including indexing criteria, methods, and updates.
Skills:
As the Office Administrator, you will use your excellent organizational and time management skills to ensure that the office runs smoothly and efficiently. You will also use your strong communication and interpersonal skills to provide support to the team and maintain effective communication with other departments. Your proficiency in Microsoft Office Suite and other office software will be essential in managing administrative tasks and maintaining accurate records.
