What’s needed in order to do that:
Reception & Front Desk
- Function as the first point of contact for visitors and guests, ensuring a welcoming and professional experience.
- Manage meeting room bookings, catering, and refreshments for internal and client meetings.
- Host breakfast and lunch meetings, prepare rooms, and handle clean-up afterward.
- Coordinate post, deliveries, and general office queries.
- Open the office for early meetings when required.
Operations & Facilities
- Oversee daily office operations, including vendor contracts, maintenance, and building management.
- Manage health and safety compliance, ensuring policies and procedures are followed.
- Order office supplies, restock kitchens, and maintain all kitchen appliances and shared spaces.
- Support IT and video conferencing setup, resolving minor technical issues when needed.
- Manage office security systems, including access fobs, doors, and cameras.
- Review and arrange preferred hotel rates for business travel.
- Coordinate business events such as Impact Day and other office-wide initiatives, venue research, and bookings.
- Work closely with SST in Solihull to align on processes and support.
Team Support
- Provide direct support to the CD&L Team and the Head of Life Science, Andrew Blevins.
- Manage calendars, schedule meetings, and coordinate travel.
- Arrange flights, accommodation, taxis, and prepare travel itineraries and meeting agendas.
- Prepare documents, PowerPoint presentations on request.
- Manage expenses for the London office and Andrew Blevins.
- Support new hire onboarding and ensure smooth day-one experiences.
- Organize team lunches, events, and visits from EU and US executives.
- Keep office policies updated and ensure smooth communication across teams.
- Stay flexible with hours to support early meetings and business needs.
