Position Overview
The Permit Clerk performs high-volume administrative and customer service work related to issuing permits and licenses. This position processes permit applications, maintains records, assists the public with code and permit information, schedules inspections, and supports daily office operations.
Position Duties
Essential Duties and Responsibilities
• Receive, review, and issue permits and licenses (building, contractor, sign, roofing, storm shelter, special events, etc.).
• Verify application accuracy, calculate fees, collect payments, and prepare daily deposits.
• Enter and maintain permit and inspection data in permitting software; organize digital and physical records.
• Provide customer service to contractors, homeowners, and the public regarding code requirements and processes.
• Schedule inspections and coordinate with inspectors and plan reviewers.
• Prepare correspondence, reports, invoices, and annual/monthly reports.
• Research property information and zoning records.
• Answer phones, respond to emails, manage mail, file documents, and operate standard office equipment.
• Process complaints and assist with general departmental tasks.
Minimum Qualifications
Education and Experience
• High school diploma or GED required.
• Two (2) years of progressively responsible clerical or administrative experience, preferably in a municipal, planning or construction-related environment.
Knowledge, Skills, and Abilities
• Understanding of basic permitting processes and municipal codes.
• Strong customer service, communication, organization, and multitasking skills.
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and willingness
to learn new software.
• Ability to perform basic math, data entry, and read simple plans or maps.
Other Qualifications
This position is classified as safety-sensitive under the U.S. Department of Transportation drug and alcohol testing regulations and the Oklahoma Standards for Workplace Drug and Alcohol Testing Act. As a safety-sensitive employee, you are subject to drug and alcohol testing, including random testing. Marijuana is included in the testing panel. Possession of a medical marijuana card does not exempt an employee from testing requirements or disciplinary action for a positive result.
