The Fleet & Safety Administrator is responsible for supporting the Environmental Health & Safety (EHS) and Fleet Management programs, ensuring compliance with regulatory requirements, maintaining safety standards, and managing vehicle operations efficiently. This role will assist in conducting inspections, coordinating safety initiatives, managing fleet records, and supporting driver and employee safety training.

 

Key Responsibilities & Duties:

Fleet Administration:

  • Coordinate routine and preventive maintenance for company vehicles.
  • Track service history, fuel consumption, and vehicle downtime.
  • Ensure compliance with local, state, and federal fleet regulations.
  • Maintain detailed records of licenses, registrations, and insurance policies.
  • Manage relationships with vendors for repairs and maintenance.
  • Monitor fleet performance metrics to optimize efficiency and reduce costs.
  • Assist with vehicle acquisitions, replacements, and upfitting processes.

Safety & Compliance Support:

  • Assist with workplace safety inspections, assessments, and compliance audits.
  • Support accident and incident investigations, ensuring corrective actions are implemented.
  • Maintain records for Workers’ Compensation claims and assist in reporting.
  • Track and coordinate safety training sessions for employees and drivers.
  • Assist with ensuring compliance with OSHA, EPA, and other relevant regulations.
  • Support the EHS team in developing and implementing safety policies and procedures.
  • Track and report on key safety performance indicators (KPIs), identifying trends and areas for improvement in fleet operations and employee safety.

Administrative Duties:

  • Maintain accurate records and reports for both fleet and safety programs.
  • Prepare, complete, and distribute reports related to safety and fleet performance.
  • Coordinate meetings, safety training sessions, and vendor discussions.
  • Provide administrative support, including data entry, document preparation, and internal communications.

Required Skills/ Abilities:

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking abilities.
  • Effective communication skills, both verbal and written.
  • Knowledge of OSHA, EPA, and Workers’ Compensation regulations.
  • Experience with fleet management software or tracking systems is a plus.
  • Ability to work independently with minimal supervision.

Education/Experience/Licenses/Certifications:

  • High school diploma required.
    • Associate’s degree in business, safety, or a related field preferred.
  • 1-3 years of experience in fleet management, safety administration, or related fields.
  • Valid driver’s license with a good driving record.
  • Fleet management or safety certifications (e.g., NAFA, OSHA) are a plus.
  • Bilingual (Spanish / English speaking) preferred.

The work environment for this position predominantly involves an office setting with a quiet to moderate noise level.
