JOB TITLE: Accounts Payable Specialist (Must be 21 years of age or older)

Range Starts: $18.95/hourly
Range Ends: $28.43/hourly

JOB SUMMARY: This team member is directly responsible for the timely and accurate processing of all accounts payable invoices, reviewing invoices
for accuracy, and following up on disputed amounts; interacts with vendors on a daily basis for Win-River Resort & Casino. This team member serves as
a backup to the Purchasing Specialist.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential duties and responsibilities outlined here are representative of those that must be met by the team member to successfully perform the essential functions of this position, however, are not all inclusive:
- Sets up vendor information into the Sage Intacct Accounting System with appropriate Tax ID, contact information, remit address, payment/discount terms, locality, and account coding information. Maintains vendor W-9 file.
- Date stamps and reviews all purchase orders and attached invoices for completion, including appropriate account coding, items received, and proper signing authority for Win-River Resort & Casino.
- Enters authorized invoices and check requests into the Sage Intacct system within 72 hours of arrival.
- Responsible for deferrals and month-end closing check runs.
- Responsible for following up with Managers on unapproved invoices and/or errors to avoid late payments.
- Reviews vendor contracts and follows payment guidelines.
- Responsible for contacting vendors for missing invoices and correcting errors.
- Works with Purchasing Specialist to provide missing information, including receiving documents as needed.
- Responsible for, manages, reconciles, and processes account and credit card orders for goods and services through phone, email, and internet order as requested by receipt of approved purchase order.
- Inventories received ordered goods and delivers goods to the appropriate department/team member placing the order in the absence of Purchasing Specialist.
- Prepares shipments, including package weighing, measuring, and labeling in the absence of Purchasing Specialist.
- Date stamps and reviews all purchase orders and attached invoices for completion, including appropriate account coding, items received, and proper signing authority for Win-River Resort & Casino in the absence of Purchasing Specialist.
- Reviews voucher cover sheet by checking vendor, coding, amount, accounting period, 1099 details, remit address, and payment terms to be sure all information is accurately recorded. Makes corrections as needed.
- Submits vouchers to Assistant Controller or Controller for review and approval by 3pm daily.
- Takes advantage of all discounts; prints all checks according to terms, including special instructions such as separate check instruction.
- Processes Safe Pay File upload to Wells Fargo following each AP Check Run.
- Responsible for sign off of check register for Win-River Resort & Casino by General Manager or Assistant General Manager and Tribal designee.
- Mails all checks to appropriate vendor; delivers in house checks to the proper individuals for both Win-River Resort & Casino and Redding Rancheria.
- Produces and reconciles Account Payable Aging Report and compares to the general ledger. Researches items outstanding 60+ days.
- Reconciles vendor statements for outstanding balances and unresolved issues.
- Maintains filing system for all vendors including W-9 documents.
- Researches outstanding A/P checks for appropriate action as provided by Banking Analyst.
- Monitors, responds, and takes action on communication emailed to [email protected].
- Gather documentation for IRS 1099 Audits.
- Edit 1099 details in the Sage Intacct system and files 1099-Misc with the IRS at year-end.
- Prepares necessary monthly Journal Entries and Account Reconciliations.
- Maintains A/P SOPs.
- Performs all duties in a manner that continually supports the vision, mission, values, and principles of the Resort & Casino.
- Performs all duties in a manner that adheres to the guest service standards established by the Resort & Casino’s guest service program.
- Completes other duties as assigned by the CFO and Controller.
EDUCATION REQUIREMENTS

- A High School diploma, or the equivalent thereof, is required.
EXPERIENCE AND KNOWLEDGE REQUIREMENTS
The experience and knowledge requirements outlined here are representative of the minimum that must be met by the team member to successfully perform the essential functions of this position, however, higher levels of experience and knowledge than required may be reflected during the recruitment process:
- Must be 21 years of age or older.
- Minimum of three (3) years of related progressive experience is required.
- This individual must possess strong communication, mathematical, organizational, and analytical skills are required.
- Strong computer skills including, but not limited to: Microsoft Word, Excel and Outlook, and 10-key experience, are required.
- Experience with all functions of a professional office, involving clerical and administrative performance in atmosphere where priorities and deadlines may change frequently is required.
- An in depth knowledge of internal and accounting control procedures of gaming operations, along with experience with online accounting systems, is preferred.
- The ability to use office equipment including, but not limited to a computer keyboard, calculator, general office equipment and multi-line telephone, is required.

- Occasionally stands, walks, bends/stoops, climbs, reaches above/below shoulder level, kneels, and squats.
- Occasionally lifts/carries up to twenty five (25) pounds is required.
