The Executive Assistant/Office Manager will have experience working in a fast-paced, deadline-driven environment. This role will have wide visibility, supporting one of our largest offices and engaging daily with key executives. As such, this person should be organized, display excellent communication and people skills, show maturity in handling business and confidential situations, and be detail oriented. The Executive Assistant/Office Manager will have the ability to work independently on projects and should be able to work under pressure at times to manage a wide variety of activities.

How you will contribute:
Executive Assistant Responsibilities
- Manage the daily activities of Chief Financial Officer and Chief Client Service Operations Officer, including managing busy calendars, preparing and process expense reports, arranging travel plans, meeting coordination, etc.
- Communicate directly on behalf of Executives with executive level external personnel as well as all levels within the firm
- Work closely and effectively with the Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Function as secretary to various management committees with a wide range of responsibilities, from drafting agendas to coordinating meetings and organizing minutes and follow-up
- Manage/prioritize multiple projects in a fast-paced environment
- Prioritize conflicting needs; handling matters quickly and proactively
- Consistently meet deadlines with minimal supervision
Office Manager Responsibilities
Management of the San Francisco Office will include:
- Managing one or more Administrative Assistants supporting SF based employees
- Function as a leader among the National Administration team, gathering administrative professionals from across the country
- Work closely with other EA/Office Managers to determine possible procedure/policy changes and rollout nationally when needed.
- Coordinate with the property manager for maintenance needs of the office
- Manage service and office issues when they arise and communicate any procedure changes to the office
- Coordinate office updates/changes with Facilities Manager
- Organize annual Holiday Party and/or Day of Giving events
- Coordinate quarterly employee Community Days
- Oversee/approve office supply purchases
- Review/approve local office invoices

Experience and Education:
We will consider any combination of experience and education which provides the necessary knowledge, skills, and abilities to perform the job. A typical way to acquire the requirements would be:
- Bachelor’s degree preferred
- 3-5 years minimum prior experience supporting C-Level Executives
- Experience in financial services a plus
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Employee management experience preferred
- Professional appearance and positive attitude
- Excellent personal and professional references
Physical Demands and Work Environment:
This role is expected to work in person in our San Francisco office at least 3 days per week. Primarily sedentary work in an office with minimal distractions; walking throughout the office. Learn and memorize tasks; execute tasks independently; apply knowledge and use judgment to manage situations. Occasionally exert up to ten pounds of force to lift, carry, push, pull or otherwise move objects. Perform repetitive motions; substantial movements of the wrists, hands, and fingers for computer keyboard operation. Use near visual acuity to perform an activity such as preparing documents, operating a computer, and reading. Speak and hear to communicate with team members and clients by phone and in-person.
