About the Department

The Administrative Services Officer 3 position provides high-level administrative support to the Director’s office of the Nashville Department of Transportation and Multimodal Infrastructure (NDOT). This role requires a proactive, detail-oriented professional who can anticipate the Director’s needs, manage complex schedules, and coordinate a wide range of administrative functions. The ideal candidate will demonstrate strong organizational skills, discretion, and the ability to think strategically to support the Director’s priorities and the department’s mission. They will also provide administrative support to the Director’s Leadership Team members. Performs other related duties as assigned.  

The Department of Transportation and Multimodal Infrastructure delivers a range of services, and the nearly 400 employees work around the clock to ensure a multimodal system that offers choice and better connects neighborhoods, residents, businesses and visitors to the place that they need and want to go to in a safe manner. These employees are responsible for over 2,200 miles of public roadways and rights-of-way, over 6,000 streets, over 300 bridges, 835 traffic signals and over 1,200 miles of bike/sidewalk lanes and much more. Big events in Nashville consist of CMA Festival, Stanley Cup Finals, Titans games, and any number of special events. These require big preparation and big clean-up, and the Nashville Department of Transportation employees are up for the challenge.

Position Duties

  • Manages the Director’s calendar, schedule meetings, and coordinate logistics with foresight and efficiency.
  • Develops agenda items for various meetings on behalf of Director.
  • Reviews the Director’s daily schedule in advance to make the necessary preparations for meetings (agendas/reports/logistics).
  • Schedules in-person & virtual meetings, invite stakeholder participants 
  • Serves as a point of contact & liaison between the Director, NDOT divisions, Mayor’s Office, and other Metro Departments as well as any external requests. 
  • Confers with division and department heads about specific activities.
  • Maintains confidentiality on all sensitive information or decisions made by the Director or the Leadership Team. 
  • Tracks and follows-up on project deadlines, deliverables, and departmental initiatives.
  • Handles tracking of Director’s requests and following up with staff. 
  • Prepares correspondence, reports, presentations, and other official documents.
  • Coordinates travel arrangements and expense reporting.
  • Performs any administrative duties for the department as assigned by Director’s office or the Leadership Team. 

Minimum Qualifications

Bachelor's degree and one (1) year of professional administrative experience providing administrative support to executives or top-level managers. 

"Experience may be considered in lieu of education."

License Required: 

Valid Driver’s License

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.

  • Proficiency in Microsoft Office Suite and scheduling tools (e.g., Outlook, Teams)
  • Manages multiple tasks and deadlines efficiently
