SUMMARY

The Client Account Manager who reports to the Director of Revenue Operations – Americas will be pivotal in supporting efforts to promote efficiency within a rapidly growing department. This position will manage a team of Client Account Specialists who are tasked with handling all billing and collections activities for assigned client portfolios.  Additionally, this position will ensure compliance with firm and client policies, procedures, and guidelines.

The Client Account Manager will have contact with senior-level lawyers, the firm’s CFO, and other directors within finance. This position covers a multitude of accounting tasks, including billing, collections, day-to-day operations, financial reporting, year-end audit preparation, annual retainer reconciliations, and other duties as the department grows

Job Responsibilities include:

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Oversee the workload of the team.

  • Assist in the development and implementation of new on-going procedures and features to enhance the workflow of the department.

  • Facilitate and support the transformation of the billing and collections department.

  • Collaborate with the other finance department managers to support overall department goals and objectives.

  • Work with each direct report to establish goals and objectives for each year while monitoring and advising on the progress to enhance the professional development of employees.

  • Support finance management with special projects and workflow process improvements.

SUPERVISORY RESPONSIBILITIES

  • Assist with the recruiting of prospective Client Account Specialist candidates.

  • Coordinate the training and orientation of all Client Account Specialist new hires on the department’s policies, procedures, and software.

  • Monitor and evaluate the performance of personnel and take disciplinary action when necessary.

BILLING AND COLLECTION RESPONSIBILITIES

  • Monitor daily activities of the billing and collection department to ensure productivity.

  • Manage and assist in the ebilling process by ensuring staff communicate with e-vendors regarding invoice file errors, investigating and resolving rejected invoices.

  • Meet with finance management and partners to discuss billing, outstanding accounts receivable, and unbilled balances.

  • Enforce client billing guidelines as required by the firm.

  • Monitor the status of all assigned bills and ensure that Matter Supervising Partners (MSP) turn in billing on a timely basis. Communicate with attorneys and assistants via email and phone to acquire any incomplete information.

  • Ensure the team is current with billing policies, procedures, and training.

QUALIFICATIONS

REQUIRED SKILLS

  • Strong organizational and management skills and an ability to prioritize and complete simultaneous projects with minimal supervision.

  • Ability to meet deadlines and work well under pressure.

  • Ability to prepare accurate and detailed work product.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).

  • Basic math skills to perform billing and reporting tasks.

  • Excellent critical thinking skills and problem-solving, in addition to performing the essential functions of the job.

  • Ability to focus attention on a task for some length of time is needed to perform the essential functions of the job.

  • Ability to use reasoning consistently to come to a conclusion is needed to perform the essential functions of the job.

  • Exercises good judgment and decision-making in performing the essential functions of the position.

EDUCATION, CERTIFICATIONS AND/OR EXPERIENCE

  • Bachelor’s degree in Accounting, Finance or Business is required, or equivalent combination of education and work experience.

  • At least five (5) years of dedicated specialized billing, collections, or account management experience.

  • Hands-on experience performing complex accounting analysis.

  • Experience in with legal billing or similar professional services background is preferred.

HOURS

Core hours are Monday through Friday, 9:00 a.m. to 6:00 p.m., with additional hours as required. Schedule flexibility to complete assignments will be required, including weekends. Very limited time off in December or January, except for Firm holidays.

The annualized salary range for this position Denver, CO $116,000 to $128,000. Los Angeles $127,000 to $140,000. San Francisco $143,000 to $158,000. Silicon Valley $143,000 to $159,000, depending on the candidate's overall experience and other job-related factors permitted by law.  Full time employees may be eligible for a discretionary bonus.  In addition, full time employees as well as some part time employees, will be eligible for the firm’s fringe benefits as they currently exists.
