Job Summary:
Reporting directly to the Director of the Angelina Pedroso Center for Diversity and Intercultural Affairs (APCDIA) with dotted line reporting duties to the Executive Director of the Office of Equity, Diversity and Inclusion (OEDI), the incumbent plays a crucial role in providing administrative and management support to facilitate the smooth functioning of the APCDIA and OEDI.Job Description:
Administer day-to-day issues with independence and competence while demonstrating effective decision-making strategies under the overall guidance and support of the APCDIA Director.
Oversee all aspects of the APCDIA budget with responsibility for analyzing program resources and budgets, making strategic recommendations to the Directors on current and projected status of overall financial or personnel operations in the division.
Consult with and advise the Director in all areas of APCDIA policy and establish procedures to implement.
Respond to requests for information and provide solution-oriented assistance as needed.
Manage scheduling, utilization, and maintenance of APCDIA programming space.
Draft and send announcements and other information for meetings, events, and general operations.
Maintain overall awareness of APCDIA and OEDI activities.
Coordinate and complete travel, honoraria, lodging, catering, venue reservations, equipment setup, technology and accessibility accommodations, publicity and other logistical needs for all APCDIA and OEDI events and programming in compliance with University policies and procedures.
Serve as communications manager for the APCDIA and the design, copy and distribution of program brochures, forms and division newsletter.
Administer Procard accounts for APCDIA purchases.
Process payments of grants or scholarships to students.
Maintain inventory and purchase supplies and equipment as requested/needed.
Prepare and process purchase orders, requisitions, contracts, and expense reports through Chrome River, ESM Solutions and other platforms.
Schedule and coordinate meetings and appointments.
Take minutes or dictation.
Greet and attend to visitors to the APCDIA with culturally responsive and welcoming disposition.
Screen and answer phone calls and emails.
Review outgoing material for completeness, dates, and signatures.
Perform additional functions incidental to both APCDIA and OEDI activities and operations.
Conduct the business of the APCDIA and OEDI with professionalism and confidentiality.
Performs other duties as assigned or required showing adaptability and flexibility to accomplish goals.
Minimal Qualifications:
Bachelor’s degree in accountancy, business administration, management, or a closely related field.
OR
Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.
OR
A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- 60 semester hours or an Associate’s Degree equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
Departmental Preferences:
Demonstrated work experience with contracts, request for proposals, vendor relationship.
Ability to work independently, with little supervision to achieve timely, as planned results, with high quality of deliverables.
Ability to communicate effectively orally and in writing with different levels of university management, employees and staff as well as external vendors.
Excellent logistical, financial, budgeting, problem-solving skills, as well as the ability to manage multiple tasks simultaneously.
Ability to interact effectively and create and maintain harmonious relationships with a diverse population of staff, faculty, students and off-campus constituents.
Prior work experience supporting Information Technology organizations.
Prior work experience with event management
Ability to quickly learn a variety of software systems relevant to the position
Highly proficient in Excel and other MS Office applications (Word, Visio, PowerPoint, Project.)
Hours: Monday through Friday, 8:30 a.m. - 4:30 p.m.(some weekends and evenings; Hours may vary depending on departmental needs}.
This position requires a background check.
Salary Range
$46,000 - $55,000
