Role description:

Arcadis is seeking an Administrative & Procurement Assistant (f/m/d) to join our Resilience team in Madrid. This is an excellent opportunity for a proactive and detail-oriented individual to support a range of administrative and procurement-related activities. The successful candidate will play a key role in ensuring the smooth operation of project delivery and internal compliance processes.

Role accountabilities:

The new team member will assist with a range of administrative and procurement-related tasks, including but not limited to:

  • Supporting procurement processes, including:
    • Preparing and submitting purchase requests.
    • Managing and tracking purchase orders to ensure timely delivery.
  • Ensuring all subcontractor compliance documentation is current and complete, such as:
    • Collecting and verifying necessary certifications and legal documents.
    • Tracking expiration dates and following up on renewals.
  • Managing client platforms, including:
    • Uploading and maintaining project documentation on client portals.
    • Ensuring accurate and up-to-date records are available for review.
  • Liaising with relevant administrative bodies, for example:
    • Uploading required documents to the Electronic Register or similar platforms.
  • Providing general administrative support to the Resilience team as needed.

Qualifications & Experience:

  • Local presence at least 2 days per week at the office as the rest of the Resilience Team.
  • Proficiency in both Spanish and English (spoken and written).
  • Good understanding of the typical administrative and legal documentation required to access industrial sites in Spain.
  • Commitment with internal protocols and team needs.
  • User skills in Microsoft Office (Word, Excel, Outlook) and similar tools.
  • Team worker, proactive, problem-solving and communication skills, and attention to detail.
  • Previous experience in administrative, procurement, or document control roles is desirable.
