Position Summary

The Coordinator for Clinical Education and Accreditation Support specialist will provide administrative support to the Director of Clinical Education, Associate Program Director, and Program Director in the areas of clinical education and program assessment and accreditation support. This position is responsible for assisting program faculty in the collection and organization of all assessment data related to program and student performance across the didactic and clinical years, as well as helping coordinate all student clinical rotation schedules.


Job Duties and Responsibilities

Administrative Assistant Responsibilities:

  • Promote the mission of Concordia University to all faculty, staff, students and to the community at large
  • Promote effective working relationships among faculty, staff, students, alumni, professionals and the general public
  • Assist the Director and Assistant Director of Clinical Education in scheduling second year PA students for the clinical year and managing the month-to-month clinical rotation schedule
  • Assist in tracking student onboarding requirements for clinical sites
  • Assist the Director of Clinical Education (DCE) in providing, completing and uploading new clinical site affiliation agreements; determine if new clinical site qualifies as a rural health site as part of the Health Resources and Services Administration (HRSA) grant and document accordingly
  • Assist the Director and Assistant Director of Clinical Education in documentation of clinical site visits
  • Verify and document current licensure and board certification for all clinical preceptors
  • Assist the Director of Clinical Education in regularly updating information regarding clinical sites on the ARC-PA portal to remain compliant with accreditation standards
  • Maintain clinical student files; ensuring records are kept secure, and verifying that all student performance records disciplinary documents, and remediation documents are in the student's file and that the file is up-to-date
  • Assist in monitoring student health compliance documentation in Exxat
  • Assist with End of Rotation related activities as requested
  • Assist with monthly distribution of HRSA grant stipends for students and clinical sites
  • Assist in the ongoing evaluation of the PA program including attending weekly PA faculty meetings and sharing any updates to clinical site/preceptor information at faculty meetings
  • Provide support for program events including prospective student events and admissions interviews
  • Provide office support (typing, filing, copying, etc.) as requested
  • Maintain conscientious work ethic to include punctuality, professional dress and demeanor

Accreditation Support Specialist Responsibilities:

  • Assist the Program Director and Associate Program Director (APD) with reviewing and completing institutional and program accreditation reports and other reports necessary for the operation and advancement of the PA program and/or University, as requested
  • Manage student progress and retention data and reports
  • Administer surveys to students and graduates/alumni using Qualtrics or other survey collection tools; monitor responses and collate data for analysis
  • Collect and organize student, faculty, and staff institutional support data as required by ARC-PA; create reports to facilitate data analysis and ongoing program assessment
  • Assist the APD and DCE in collating didactic end of course data and clinical student and preceptor evaluation data as required by ARC-PA; create reports to facilitate data analysis and ongoing program assessment
  • Assist Admissions committee in collecting and organizing applicant admissions and demographic data into spreadsheets for analysis
  • Assist program faculty in collecting and organizing student demographic data and clinical rotation data as required for HRSA grant reporting
  • Assist the Program Director and Associate Program Director with preparation of program self-study reports as required by ARC-PA
  • Other duties as assigned

Knowledge, Skills, and Abilities

  • Professional telephone skills and etiquette
  • Excellent typing skills, organizational skills, and computer skills
  • Software application skills such as Microsoft Word, Microsoft Excel, Canvas, and Exxat
  • Excellent communication skills (verbal and written)
  • Ability to maintain strict confidentiality
  • Proficiency in filing and general clerical functions
  • Self-motivated, conscientious, able to work both independently and as a member of a team
  • Ability to handle multiple responsibilities concurrently while maintaining attention to detail
  • Work schedule flexibility

Education and Experience

  • Required: Associate's Degree; administrative experience
  • Preferred: Bachelor's degree, experience in accreditation processes in a higher educational institution

This is a full-time, non-exempt (hourly) staff position. Starting range is dependent upon on individual qualifications and experience. Concordia University benefit options include, but are not limited to the following:
