Job Summary:

The Shared Services Manager is responsible for coordinating technician resources between multiple locations. The Shared Services Manager will provide technical support and training to the assigned technicians at each location. The role ensures that appliance maintenance, furniture, and appliance refurbishment requests are completed and delivered safely and on time, while promoting consistency, safety, and environmental compliance. Responsibilities will include ensuring that work is completed to an acceptable standard in a timely manner. The role will facilitate communications among the supervisors and technicians, establishing standard operating procedures, best practices and promote consistency, safety and environmental compliance. The position also oversees the review and management of all relevant work orders to ensure proper scheduling, timely follow-up, and appropriate closure.

Reports to: Director of Facilities

Primary Responsibilities:

  • Responsible for ensuring that each location has sufficient Shared Service technician resources to enable completion of workload in a timely manner by moving technicians between locations as required. Liaise frequently with Directors of Facilities and Department Managers to ensure that Shared Services is meeting the needs of the location workload and the project company’s maintenance performance metrics as defined in the respective incentive agreements. (% of time spent: 25%)
  • Oversee furnishing and appliance warehouse operations, confirming that employees meet all demands for furniture and appliance refurbishment requests and ensuring that all deliveries are completed safely and on time. Review all work orders to confirm employees are scheduling properly, providing timely follow-up on concerns, and ensuring all work orders are closed appropriately to maintain quality care of scheduling and resident satisfaction. (% of time spent: 35%)
  • Responsible for recruiting, development and performance management of personnel to support these functions. Working with vendors and other resources to identify training opportunities to maximize job knowledge and employee retention. Utilize Yardi to identify potential issues and trends; implement corrective measures that may include alternative material sourcing, employee training and performance plans. Responsible for implementation of portfolio best practices. Identify opportunities to improve performance that will maximize efficiencies to positively impact resident satisfaction and financial performance. (% of time spent: 30%)
  • Develops a network of vendors and subcontractors to ensure that the best product and services are obtained to maximize efficiencies through volume pricing and utilizing latest technologies. (% of time spent: 10%)

Position Requirements:

  • High School diploma or GED required; Vocational/Technical training and/or Associates degree preferred
  • Minimum 3 - 5 years previous work-related experience required
  • Minimum 1 - 3 years previous supervisory/management experience required
  • Must have a current vehicle license in good standing and meet the driving records standards outlined in the Company Safe Vehicular Operations Policy
  • Experience with computer systems required, including web-based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access
  • Able to communicate clearly and effectively in writing with internal and external customers
  • Able to comprehend and communicate complex verbal information in English to organization staff, clients, families and external customers
  • Must demonstrate full working knowledge of standard concepts, practices, procedures and policies with the ability to use in varied situations
  • Must act as a team leader for small projects or work groups, creating a collaborative and respectful team environment and improving workflows.
  • Provide a high level of customer service and staff training to meet customer service standards and expectations for the area(s) of responsibility. Resolves service issues in the area(s) of responsibility in a timely and respectful manner.
