Position Summary
The Maintenance Coordinator provides essential administrative and operational support to ensure the effective functioning of the Maintenance Department in a dynamic manufacturing environment. This role is responsible for managing the maintenance schedule, coordinating external vendors, maintaining accurate records, supporting inventory control, and assisting with financial tasks such as invoice coding and budget tracking.
Essential Duties

- Serve as the central point of contact for daily coordination of maintenance activities
- Maintain and manage the computerized maintenance management system (CMMS), including opening, tracking, and closing work orders
- Schedule and track preventive maintenance tasks and corrective maintenance requests
- Coordinate services with external vendors and contractors, including scheduling, compliance documentation (COIs, permits, etc.), and onsite access
- Support the onboarding and management of third-party contractors and ensure safety and compliance protocols are met
- Maintain inventory of maintenance supplies, tools, and replacement parts, initiate purchase requisitions and track delivery status
- Code and submit maintenance-related invoices, track approval workflows, and work with Accounts Payable to resolve discrepancies
- Assist with budget tracking, capital expense reporting, and monthly maintenance spend summaries
- Keep up-to-date and organized maintenance records, inspection logs, certifications, and compliance documentation
- Support Maintenance Manager with timekeeping, scheduling PTO, and tracking labor hours
- Assist in preparing reports, spreadsheets, and dashboards for department leadership
- Communicate effectively with other departments (Production, Safety, Quality, etc.) to coordinate maintenance activities
- Perform general administrative duties including data entry, filing, scanning, and supply ordering
- Participate in and support continuous improvement efforts and special projects as needed
- Ability to follow Food Safety GMPs

Education and Experience
- High school diploma or equivalent
- Minimum of 2 years of experience in an administrative, coordination, or support role within manufacturing or maintenance operations
- Minimum of 1 year experience using a CMMS (e.g., MP2, Fiix, eMaint, or similar)
- Experience working with vendors and coordinating external services
- Proficiency with Microsoft Office Suite (especially Excel and Outlook)
- Strong organizational skills, attention to detail, and ability to manage multiple priorities
- Familiarity with invoice coding and basic financial/accounting principles
- Excellent communication skills and ability to work cross-functionally
- Knowledge of maintenance practices, equipment, and industrial terminology
- Understanding of OSHA regulations and GMP/food safety compliance if applicable
- Office setting located within a manufacturing facility
- Regular interactions with plant floor personnel and exposure to production environment
- Must be able to sit, stand, and walk for extended periods
- May occasionally lift or move items up to 25 lbs
