Executive Assistant
Colorado Springs Utilities is looking for an action-oriented, self-motivated, and experienced individual to join our team as an Executive Assistant. In this job, you will be responsible for providing a wide variety of highly visible and complex administrative support functions to the Executive Leadership Team. You will use your professional skills and abilities to independently take appropriate action and make sound decisions within the scope of authority while handling details of a highly confidential nature.
Key areas of focus:
- Provide confidential, complex, and time-sensitive administrative support to the Executive Team, including, managing and maintaining busy calendars and schedules
- Ability to maintain and sustain confidential documentation to include but not limited to conversations, meetings, legal and Colorado Springs Utilities-specific business information
- Provide administrative support for staff meetings, including scheduling, preparing, and distributing agenda packets, attending, recording, and taking minutes for such meetings, operating audio/visual equipment, and coordinating meeting room logistics
- Coordinate travel arrangements and documentation
- Process and track complex invoice expenditures and serve as a Purchasing Card (P-Card) facilitator, which includes P-Card reconciliation for several members of the Executive team
- Budget and forecast
- Track deadlines and follow up with staff for the timely completion of projects
- Prepare, proofread, and format presentations for delivery to internal and external customers
- Develop and maintain important, sensitive internal and external business relationships
- Provide excellent customer service to internal and external customers
- Create purchase orders/requisitions and order supplies
- Maintain both electronic and paper filing systems for rapid recall and sharing of information and documents
- Provide support to other members of the Executive Assistant team for projects and vacations
Who are you...
You will bring an Associate's or Bachelor’s degree in Business, Accounting, Office Administration, or a closely related field, and five or more years of experience in supporting senior or executive level management (or an equivalent combination of education and experience). Additionally, we are most interested in your experience, skills, and accomplishments in the following areas, so please highlight them on your application and/or resume:
- Advanced knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Database Management (SharePoint)
- Organized and flexible with the ability to commit to the extended time as deemed necessary
- Excellent attention to detail and follow-through
- Ability to work in a fast-paced, dynamic environment with rapidly shifting priorities
- Basic bookkeeping and budgeting principles
- Skilled in setting up and operating audio/visual equipment
- Strong problem-solving and decision-making skills
- Professional demeanor, exercising judgment, diplomacy, confidentiality, and tact when interacting with internal and external professionals
- Ability to build strong relationships and to work with people holding opposing views
- Ability to remain calm under pressure in an ever-changing environment
- Ability to work effectively in a group setting, with the public, other employees, and agencies

PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
- Exerts up to 10 lbs. of force occasionally and/or small amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
