ROLE SUMMARY: 

The HR Assistant provides administrative support to the Human Resources department and serves as a first point of contact for employee inquiries. This entry-level role is responsible for assisting with daily HR functions. The HR Assistant will also assist with scheduling, documentation, and other projects as assigned. This position requires strong organizational skills, attention to detail, and the ability to handle confidential information with professionalism.


KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS:


Recruitment & Onboarding

  • Assist with posting job openings and tracking applicants.
  • Schedule interviews and coordinate communication with candidates.
  • Support new hire onboarding by preparing paperwork and orientation materials.

Employee Records & Documentation

  • Maintain and update employee files, ensuring accuracy and confidentiality.
  • Assist with tracking attendance, leave, and other HR-related data.
  • Prepare and process routine HR forms and correspondence.

HR Operations & Compliance

  • Support HR staff with compliance-related tasks, ensuring adherence to company policies and labor regulations.
  • Assist with the preparation of reports and audits as needed.
  • Help monitor and update internal HR systems and databases.

Employee Support

  • Serve as a first point of contact for basic employee questions or requests.
  • Direct employees to appropriate staff or resources when needed.
  • Provide general administrative support to the HR department.

General Administrative Support

  • Assist in organizing files, reports, and other HR documentation for meetings or audits. 
  • Support preparation of HR communications, employee notices, and departmental updates.
  • Support special projects and other duties as assigned.

REQUIRED QUALIFICATIONS:

  • Bilingual: English and Spanish.
  • High school diploma or equivalent.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Reliable, dependable, and able to manage time effectively.


Desired Qualifications:

  • Willingness to learn HR processes, policies, and employment law basics.
  • Prior office, administrative, or customer service experience.
  • Interest in developing a career in Human Resources.

Company Requirements:

  • Legally authorized to work in the United States.
  • Must be able to pass a background check and drug screening.

Physical Demands and Work Environment:

  • This position is primarily office-based and requires the ability to sit for extended periods of time at a desk using a computer and telephone.
  • Occasional standing, walking, bending, or reaching may be necessary throughout the day.
  • This role may occasionally require light lifting (up to 15-20lbs) for office-related tasks (e.g., files, supplies).
  • The work environment is a professional office setting, with standard lighting, temperature, and noise levels typical of administrative environments.


Compensation and Benefits:

Hourly Rate: $20.00 - $25.00

Overtime: Eligible for overtime pay for hours worked over 40 per week, as needed.
