Our Operations Support Specialist will play a vital role in keeping our team running smoothly. From preparing insightful reports and coordinating projects to handling key administrative responsibilities, you’ll be at the center of our day-to-day operations. Work Set-up: On-site, Woodstone, San Antonio, TX
Responsibilities:
Reporting & Data Analysis
Prepare and distribute a variety of reports, including historical performance summaries.
Review operational statistics to spot trends and key performance indicators.
Build spreadsheets and maintain databases to support reporting requirements.
Perform advanced data analysis with strong analytical skills.
Draft, upload, and track reports to ensure tasks are completed on time.
Administrative & Clerical Support
Oversee office supply requests and handle special purchase needs for the clinical services team.
Procure team incentives and giveaways when required.
Draft, edit, and finalize correspondence, reports, agendas, minutes, and memos.
Issue communications such as emails and memos to keep stakeholders informed.
Create correspondence, presentations, schedules, and expense reports, both routine and customized.
Review, validate, and process expense reports.
Arrange and coordinate travel plans when necessary.
Project & Event Coordination
Support the planning and execution of special projects and internal/external events as directed by management.
Contribute to process improvement activities and assist with automation initiatives.
Work Competencies
Prioritize and manage multiple tasks efficiently while meeting deadlines.
Maintain flexibility for hybrid work arrangements and adapt to extended hours when needed.
High school diploma or GED (additional education or certifications a plus).
2–4 years of administrative experience, ideally supporting leadership or senior teams.
Strong proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook).
Excellent written and verbal communication skills for professional correspondence and presentations.
Confidence in presenting information clearly in meetings or small group settings.
Solid skills in basic math and the ability to interpret simple data or statistics.
Strong problem-solving ability and sound judgment in handling day-to-day situations.
