TITLE: FACILITIES SECRETARY
Location: Facilities Operations Center (FOC)
12 Month Schedule
Full-Time - 8 hours/day
Monday-Friday
2025-2026 Salary $17.16/hr. per RSPA Master Agreement for Classification II
QUALIFICATIONS:
- High School Diploma with excellent command of the English language.
- General office experience preferred
- Strong computer skills and aptitude to learn software programs used in this position.
- Experience in administration of a database work-order management system preferred.
- Ability to interact positively with school/community.
- Ability to handle a multitude of responsibilities with minimal supervision.
- Regular, reliable and punctual attendance required.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
REPORTS TO: Manager of Facilities Operations
JOB GOAL: To assist with the efficient operation of an automated work order system for the Maintenance and Grounds Department.
PERFORMANCE RESPONSIBILITIES: The performance responsibilities listed below represent an overview of the responsibilities for this position.
- Serves as secretary for the Maintenance and Grounds Department and provides clerical support, as directed by Manager.
- Greets visitors and answers phones promptly and courteously.
- Manages district wide Facilities work order system including work order processing, cost alignment and distributing reports as needed.
- Facilitates training for maintenance, grounds, and administrative staff, as directed.
- Maintains DOT physicals.
- Assists in maintaining employee files for proper licenses and certifications.
- Maintains uniform for maintenance and grounds employees.
- Coordinates emergency services, district move events, supply orders and vehicle purchase as needed.
- Assists Safety Consultant with AED supplies.
- Assists manager with payroll processing, including reviewing data in RedRover Absence Management and Time and Attendance Systems.
- Assists in maintaining purchase card reconciliation.
- Assists the Facilities Department as requested and performs other duties as assigned.
- Accepts, sorts and distributes packages and mail to the appropriate recipients or departments.
TERMS OF EMPLOYMENT:
- 12 Month Position
- 8 hours per day
- Salary and benefits as per RSPA Master Agreement for Classification II Clerical Positions.
WORKING CONDITIONS:
- An employee working in this assignment will be required to sit for long periods of time and work on a desktop computer.
- Data entry and record search is a large part of the duties of this position and repetitive hand motion will be required.
REQUIRED POSITION TESTS:
Microsoft Office Current District Version: Intermediate Word and Excel, and PowerPoint; and Office Basic Outlook; OPAC Clerical Skills Assessments in: Bank Deposits/Petty Cash; Customer Service Phone Skills; Numeric/Alpha/Record Locator Tests, Sentence Clarity, and Spelling. Encounter Software: Interpersonal/Teamwork Assessment
