The Administrative Assistant plays a key role in supporting daily office functions and ensuring smooth administrative operations at ND Fairmont. This position requires excellent organizational skills, attention to detail, and the ability to communicate effectively across departments and will report to the Site Manager.
Key Responsibilities:
- Provide administrative support to managers and other staff as needed.
- Handle incoming calls, emails, and other correspondence, direct inquiries to the appropriate personnel.
- Maintain organized filing systems, both digital and physical.
- Assist with scheduling meetings, appointments, and travel arrangements.
- Prepare and proofread reports, memos, and other documents.
- Manage office supplies and coordinate inventory restocking.
- Support HR functions such as timekeeping, onboarding, and maintaining employee records.
- Assist with data entry and updating internal systems accurately.
- Help coordinate company events, training sessions, and other logistics.
- Set up, schedule, and process inbound/outbound shipments of raw material and finished products.
- Assist site administrator with order processing and machine scheduling.

Qualifications:
- High school diploma or equivalent required; Associate degree or administrative certification preferred.
- 2+ years of administrative experience in an office or manufacturing environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong written and verbal communication skills.
- Excellent organizational and time management abilities.
- High level of accuracy and attention to detail.
- Ability to handle sensitive and confidential information appropriately.
- Professional, dependable, and customer-service oriented.
Working Conditions:
- Primarily office-based work with occasional visits to production areas.
- Standard business hours, with flexibility based on operational needs.
