Fennemore has an exciting opportunity in our Santa Barbara, California office for a proactive and highly skilled full-time Legal Administrative Assistant. In this boutique setting, you’ll support attorneys in our Trusts, Estates, and Wealth Preservation practice while also serving as the go-to person for all office needs.

This on-site role combines traditional legal support with broader office support responsibilities, providing you with both variety and visibility within a collaborative, high-achieving team. We’re looking for a resourceful and resilient professional who thrives in a fast-paced environment, anticipates needs before they’re expressed, and innately knows how to keep operations running smoothly.

Responsibilities:

  • Provide full administrative and legal support to attorneys, including preparation, formatting, proofreading, and finalization of documents and correspondence
  • Serve as a gatekeeper and liaison, handling sensitive client communications with discretion via phone, email, and Zoom
  • Manage collection, organization, and filing of legal documents and correspondence under attorney direction; maintain physical and electronic files
  • Submit e-recordings in various counties
  • Prepare estate binders and handle sending said estate binders to clients
  • Coordinate attorney calendars, conference calls, meetings, and client appointments, including room scheduling, materials, and meals
  • Track attorney CLE requirements and maintain records as needed
  • Oversee day-to-day office operations (supplies, vendors, mail, and technology troubleshooting)
  • Perform other administrative and office support tasks as assigned

Required Qualifications:

  • 3+ years of Legal Administrative Assistant experience, trusts and estates required
  • Knowledge of e-recording documents such as deeds and affidavits
  • Strong command of the English language with excellent spelling, grammar, punctuation, and formatting skills
  • Skilled in online legal research
  • Proven ability to anticipate attorneys’ needs and take proactive steps to ensure efficient workflow
  • Resilient and adaptable, with the ability to stay calm under pressure and respond with urgency
  • Typing speed of 70+ wpm, with accuracy when transcribing from dictation, handwritten notes, or verbal instructions
  • Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint), Docusign, Adobe/Kofax; experience with iManage and Intapp a plus
  • High school diploma or equivalent
