The Executive Assistant provides high-level administrative and general support to senior Finance executives, including the Controller/Chief Accounting Officer, Vice President Strategic Finance and Vice President Investor Relations, in a highly responsible and confidential capacity. This role requires professionalism, discretion, and strong organizational skills to manage sensitive information and ensure seamless communication between executives, staff, and external stakeholders. The Executive Assistant must demonstrate tact, integrity, and sound judgment while balancing multiple priorities.
Key Responsibilities
Perform a wide range of administrative and support duties of a highly responsible and confidential nature.
Act as the primary point of contact between Finance executives, internal teams, and external representatives (including external auditors and consultants).
Manage calendars, schedule meetings and travel, handle expenses, and ensure Finance leaders are prepared for deadlines and key discussions.
Organize the quarterly calendar for Board and Audit Committee meetings, pull together materials, and coordinate with committee chairs.
Help coordinate external audit requests, track important filings and reports, and assist with annual corporate and investor reports.
Plan retreats, division meetings, and recognition events, while also handling office logistics like conference rooms and workspace moves.
Set up equipment and workspace for new hires, maintain certification records, and ensure smooth offboarding when employees leave.
Manage system access for Finance and look for ways to make team processes run more smoothly.
Draft and prepare routine letters, memoranda, reports, and presentations for executive review and signature.
Manage multiple projects simultaneously, ensuring deadlines and quality standards are met.
Qualifications & Skills
Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership.
Exceptional organizational skills with the ability to prioritize and manage multiple tasks.
Strong written and verbal communication skills.
High level of discretion, integrity, and confidentiality.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
Ability to build and maintain strong working relationships across all levels of the organization.
Pay Range:
- $46,400.00 - $68,450.00
Salary is commensurate to experience, location, etc.
