IAT Insurance Group has an immediate opening for an Administrative Assistant from our Raleigh, North Carolina location.

This role works a hybrid schedule from an IAT Office in Raleigh, North Carolina. The hybrid schedule reflects our values (thinking and acting like an owner, collaboration, and teamwork) as it requires working from the office with colleagues and other disciplines Monday through Wednesday, with the option of working Thursday and Friday remotely. There will be instances when working from the office on Thursdays and Fridays is required.

Responsibilities:
  • Performs general administrative duties including typing, correspondence, filing, copying, incoming and outgoing mail / email handling, maintaining office supplies, answering calls and correspondence and other related duties.
  • Maintains calendars, schedules meetings, books rooms, setting up video conference meetings, makes travel arrangements and completes expense reports.
  • Prepares correspondence independently whenever possible, by composing and sending replies or preparing drafts for assigned staff.
  • Manages meeting arrangements / office celebrations for assigned staff, including logistics such as room reservations, video conferencing, registrations, appointment scheduling and coordinating catering services and decor.
  • Handles all aspects of catering logistics including menu planning, ordering, delivery scheduling, setup, presentation, and post-event cleanup. Ensures catering aligns with dietary preferences, budget, and event type. Coordinates and participates in trade shows, conventions, and client meetings as needed.
  • Acts as a proactive liaison within the team fostering a professional, inclusive, and welcoming environment for both internal colleagues and external visitors. Ensures smooth communication and collaboration across departments and represents the team with professionalism and courtesy in all interactions.
  • Produces, updates, and/or maintains department reports and files and assists with departmental specific duties as needed.
  • Professional communication with executives, clients and vendors. Ability to handle confidential information with discretion and utilizes conflict resolution or problem-solving skills during high-pressure situations.
  • Utilizes Microsoft Office daily (PowerPoint, Word, Excel, Outlook, Teams) and operates all office equipment and machines.
  • Perform other duties as needed.
Qualifications:
Must-Have:
  • High school diploma or GED with 2+ years of administrative experience or equivalent.
  • Equivalent is defined as 6 years of relevant experience.
  • Excellent oral and written communication skills as well as demonstrated professionalism, organization, and time management.
  • Proficient in Microsoft Office Suite, including Word, PowerPoint, and Excel.
  • Strong critical thinking and problem-solving abilities.
  • Excellent attention to detail and a commitment to delivering high-quality customer service.
  • Highly organized with effective time management skills.
  • Ability to set priorities and multitask in a fast-paced environment.
  • To qualify, applicants must be authorized to work in the United States and must not require VISA sponsorship, now or in the future, for employment purposes.
Preferred to Have:
  • Associates degree in business or related field
