The Opportunity
The Proposal Specialist is responsible for preparing high-quality, compelling, and compliant proposals and qualifications packages in response to RFPs, RFQs, and other solicitations. This role is essential in maintaining proposal schedules, coordinating inputs from various departments, and ensuring branding, formatting, and submission requirements are met.
What You Will Do – Essential Responsibilities
- Lead the end-to-end proposal process, including planning, scheduling, content development, quality assurance and final production.
- Thoroughly review and analyze RFP, RFI, RFQs to launch Go/No-Go process, develop detailed compliance checklist and response outlines, and coordinate response strategy with internal stakeholders.
- Partner with leadership to select relevant projects, team members, and content that best aligns with the proposal requirements.
- Create and edit persuasive technical and business development content. Including resumes, project sheets, management plans and cover letters.
- Collaborate with technical staff, subject matter experts and business development team to create tailored responses and presentation materials for proposals and interviews.
- Support the development of marketing content for broader campaigns, events and communications.
- Maintain and update Client Relationship Management (CRM) system ensuring accurate and current data for leads, opportunities and contacts.
- Manage and organize the firm’s library of proposal content, resumes, project descriptions and marketing collateral, ensuring materials are accessible and updated.
- Coordinate with graphic designer to develop high-quality visuals and custom graphics that enhance proposal deliverables.
- Assist with companywide marketing initiatives and campaigns, including coordination of content, graphics, communications and events logistics.
- Participate in event planning and execution to support visibility, branding and client engagement.
- Work with the team to support strategic business objectives through creative, branded messaging and outreach.
Qualifications and Requirements
- 2–4 years of experience in proposal development within the AEC industry.
- Familiarity with AEC procurement processes, including responding to RFQs, RFPs, and SOQs for public and private sector clients.
- Experience supporting the end-to-end proposal process from coordinating input from technical staff, drafting/editing narratives, assembling resumes and project sheets, and ensuring compliance with submission requirements.
- Working knowledge of CRM systems (e.g., Deltek Vantagepoint or similar) to maintain pursuit data, track opportunities, and generate reports.
- Strong organizational and time management skills, with the ability to manage multiple proposals and deadlines simultaneously.
- Excellent writing, editing, and proofreading skills, with a sharp eye for detail and adherence to brand/graphics standards.
- Ability to collaborate effectively with project managers, technical staff, and leadership, while navigating different communication styles and priorities.
- Proficiency with Adobe Creative Suite (InDesign preferred) and Microsoft Office for production of high-quality submittals.
