The Coordinator serves as the School Certifying Official in managing and certifying military-related benefits for undergraduate, graduate, and professional programs for veterans, active duty military, reservists, and dependent students. The position coordinates resources for veterans, active military students, and their families and serves as the point of contact for service branch education portals. The Coordinator works collaboratively with staff in the Division of Student Development and the Student Veteran Center to provide on-going support to enrolled student veterans and active duty military service members.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serve as the primary contact for financial aid counseling and transition matters assisting military students, veterans and dependents as they enter St. Mary's University.
  • Maintains enrollment data of Veteran, active duty military, retired, DOD employees, and/or spouses, dependents who are currently enrolled at St. Mary's University. Collaborates with the Office of Institutional Effectiveness on applicable surveys.
  • Counsels active duty military students on tuition assistance process. Verifies and maintains tuition assistance forms for accuracy and coordinate with Business Office as necessary. Submits required reports and other compliance documents to military education portals as necessary.
  • Participates in telephone/online quarterly meetings for non-LOI (letter of intent) schools, as well as reviews training and updates to policies and procedures as mandated by each military service branch.
  • Performs timely processing of Veterans Affairs (VA) educational benefits to ensure the university is compliant with federal, state, and institutional regulations and policies.
  • Processes student registration forms for Veterans Administration certification following the guidelines outlined in the Veterans Administration Certifying Official handbook. Submits required reports to the Veterans Administration concerning student status. Maintains Veterans benefit records for compliance with the Veterans Administration in accordance with VA requirements.
  • Creates, maintains, and verifies payments received accurately for the student sponsorship billing for Post 9/11 GI Bill.
  • Attends training to maintain knowledge of current rules and regulations of federal and state laws to maintain compliance in all relevant programs.
  • Assists in the University's recruiting activities of veterans and active military personnel and their dependents.
  • Serves as the Enrollment Management Liaison to the University's ROTC program.
  • Maintains knowledge of the university's resources and systems, including Banner and Slate, and learn new systems and tools as needed.
  • Performs other duties as assigned.

QUALIFICATIONS:

  • Bachelor's degree from an accredited college or university.
  • Previous military service preferred. Experience within a higher education environment preferred.
  • Demonstrated ability to independently locate, understand and implement policies and procedures, with particular experience in local, state, or federal government or service branches preferred.
  • Must clear and maintain a favorable background investigation and clearance
  • Must have valid driver's license, motor vehicle liability insurance and personal injury insurance; or have a self-reliant source of transportation to conduct business on a daily basis
  • Must be able to work flexible hours including evenings and weekends.
  • Must have the ability to demonstrate intermediate to advanced skills in MS Office and Office 365 (Word, Excel, Teams, Outlook and PowerPoint) including experience with virtual platforms such as Zoom; Proficient with ad hoc query and reporting tools.
  • Must have excellent verbal and written communication skills. Strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; an ability to work effectively with communities across the university.
  • Must have a high ethical standards and a strong sense of confidentiality; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; displays solid problem solving and interpersonal skills; works well independently and as part of a team.
  • Must have strong self-judgment abilities to assist in the preparation of department personnel policy information. Use discretion to complete work assignments. Initiative is frequently required to complete work assignments. Decisions are made regarding policy interpretation and individual work priorities
  • Must have a high attention to detail and be able to organize workflow, coordinate activities, balance simultaneous projects without loss of efficiency in a multi-tasked environment, and manage multiple priorities to meet deadlines
  • Display a strong commitment to the mission of the institution and ability to articulate the value of a Marianist, Catholic education.
  • Bilingual Preferred (English/Spanish with the ability to understand and to make one's self understood to Spanish speaking individuals).

PHYSICAL DEMANDS:

  • Working conditions are in an office environment and university campus setting. Must be able to move across the university campus to conduct day to day business.
  • Ability to present and engage in a stationary position with various constituencies, both in online and physical spaces, for up to three (3) continuous hours.
  • While performing this role, the employee will be regularly required to sit, walk, and stand; talk and hear, both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 20 pounds.
  • Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.
  • Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems within a timely manner.
  • Constantly operates a computer and other office productivity machinery.
