Job Description:

KIPP Texas is seeking an Executive Assistant passionate about providing exceptional administrative support to KIPP Texas’ Chief Talent Officer in pursuit of KIPP TX’s aim to create joyful, academically excellent schools. The Executive Assistant advances organizational priorities through providing executive support, and serving as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the Chief Talent Officer. The Executive Assistant also works in collaboration with the Director, Talent Projects to support implementation of special projects as designated by the CTO. 

An ideal candidate for this position must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.


Key Responsibilities

Provide Executive Support to the CTO

  • Completes a variety of administrative tasks for the CTO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence, including confidential matters; arranging complex and detailed travel plans, itineraries, and agendas; putting together a weekly plan for the CTO with all necessary information; and compiling documents for meetings. 
  • Plans, coordinates and ensures the CTO's schedule is followed and respected. Acts as a "gatekeeper", creating win-win situations for direct access to the CTO's time and office.
  • Communicates directly, and on behalf of the CTO, with staff and others, on matters related to CTO's programmatic initiatives, meetings, crisis, and any other work. 
  • Manages the CTO’s email, including responding to internal and external emails on behalf of the CTO.
  • Anticipates, researches, prioritizes, and follows up on incoming issues and concerns addressed to the CTO by KIPP TX staff, and external parties, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. 
  • Provides a bridge for smooth communication between the CTO's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. 
  • Works closely and effectively with the CTO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CTO updated.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CTO, some of which may have organizational impact.
  • Successfully completes critical aspects of deliverables, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CTO's ability to effectively lead the organization.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.  
  • Updates the CTO's bio and responds to requests for materials regarding the CTO and the organization in general.

Serve as Liaison for Senior Management

  • Participates as an adjunct member of the Talent Division Leadership Team, assisting in scheduling and attending meetings as necessary.
  • Assists in coordinating the agenda of senior division leadership team meetings and off-sites, and all staff meetings.
  • Facilitates cross-divisional coordination of travel and outreach plans.  
Qualifications:
  • Bachelor's degree required or equivalent work experience.
  • 3-5 years of work experience supporting C-Level Executives, preferably in a non-profit organization.
  • Exceptional attention to detail and strong organizational skills that reflect ability to perform and prioritize multiple tasks adapt to competing demands, with excellent attention to detail. 
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.

Skills

  • Proficient in Google Suite, Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and social media web platforms.
  • Skilled at delivering the highest level of customer/client service to a wide variety of internal and external stakeholders.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Expert level written and verbal communication skills.
  • Strong decision maker, taking proactive approaches to problem-solving and recommending solutions.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Emotional maturity.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.

  • The starting salary range for this position is $55,000 and is commensurate upon experience and internal-equity

Work Environment

     ●  Hybrid - three days working from the Houston regional SSP office; two days working from a home office.

Travel Requirements

  • Ability to travel to various locations for in person meetings, or conferences, travel time approximately 15-25%.
