Job Description:

Duties:

Executive Support:

  • Provide comprehensive administrative support to the President, including calendar management, travel arrangements, expense reporting, and meeting preparation
  • Manage daily priorities, proactively identifying and resolving scheduling conflicts and time-sensitive requests
  • Draft, edit, and format correspondence, presentations, and reports on behalf of the President
  • Maintain utmost confidentiality and professionalism in handling sensitive information

Leadership Team Coordination:

  • Support the broader leadership team (VPs, Senior Leaders) with scheduling, meeting logistics, and document preparation
  • Coordinate and manage recurring executive and operational meetings, including agendas, minutes, and follow-up action items
  • Act as point-of-contact between the President's office and key stakeholders, including customers, external partners, and internal teams

Event & Meeting Planning:

  • Organize and execute onsite and offsite meetings, town halls, and executive workshops (venue coordination, AV setup, materials, catering, etc.)
  • Provide logistical and administrative support for internal events, such as team-building initiatives

Communication & Operations:

  • Serve as a liaison to departments such as HR, Legal, Operations, Sales and Finance for executive-related matters
  • Help manage internal communications on behalf of the President, including drafting emails, and talking points
  • Ensure alignment of executive messaging with Smiths Detection’s values, Global Leadership Behaviors, and strategic objectives
Qualifications:

Education Requirements

Required/Preferred: Associate degree or higher in Business Administration, Office Management, or a related field. An equivalent combination of education and relevant administrative experience may also be considered

Years of Experience: 5+ years of administrative or executive assistant experience supporting senior executives (C-suite or President level)

Additional Qualifications:

  • Exceptional organizational skills and attention to detail
  • Proven ability to manage multiple priorities under tight deadlines with a calm, solution-oriented approach
  • Excellent written and verbal communication skills; professional and diplomatic presence
  • Tech-savvy, with proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word), Teams, SharePoint, SAP, SAP Concur Expense Reporting and Travel through Egencia

The compensation for this position ranges from $69,120 - $154,800/yr and will vary depending on factors such as your location, skills, job-related knowledge, and experience. The compensation package may also include incentive compensation opportunities in the form of discretionary annual bonus or commissions. Smiths Detection provides comprehensive benefits including healthcare, 401K savings plan, company holidays, vacation, sick time, parental leave and an employee assistance program.
