We are seeking an RFP (Request for Proposal) & Onboarding Coordinator manages the process of responding to requests for proposals, which are sent by companies seeking bids for new contracts or business opportunities. In addition, they play a key role in working with the Sales and Sales Support team to onboard the new client once the business has been awarded. They act as a project manager, organizing and ensuring the timely and accurate completion of high-quality proposals and the successful transition to the onboarding phase.


Overview

An RFP & Onboarding Coordinator is a key liaison between various departments, such as sales, marketing, marketing services, operations and legal, ensuring all parties provide the necessary information for the proposal. They are responsible for managing timelines, coordinating with subject matter experts, and ensuring that all documents are compliant with the RFP requirements.

In addition, once the business has been awarded, the Coordinator is the point person for the successful transferring of client information necessary for the new client Onboarding Process.


Core responsibilities

  • Process management: Manage the end-to-end proposal process, from initial request to final submission. This includes developing project plans, schedules, and outlines to ensure all deadlines are met.
  • Content development: Work with subject matter experts to gather information and draft content for proposals, presentations, and other client-facing materials.
  • Quality control: Review and edit proposal content for accuracy, consistency, and compliance with all RFP requirements.
  • Resource management: Maintain and update a library of proposal templates, boilerplate content, and other reference materials.
  • Communication: Act as the primary point of contact for internal teams and sometimes external clients, organizing kick-off and debrief meetings.
  • Improvement: Recommend and implement process improvements to streamline the proposal coordination process. 
  • Transition: Responsible for transferring all of the necessary and important client information to the Project Manager, Sales and Sales Support teams for the new client onboarding process

Requirements

  

Required experience & skills

  • Excellent organizational, time management, and planning skills with strong attention to detail, exceptional interpersonal skills and keen problem-solving skills
  • A positive, no job too small mentality and an ability to work with various personalities and cross functional teams
  • Strong written and communication skills and the ability to interact with all levels of management
  • Proficiency in Microsoft Office applications including Word, Excel, PowerPoint and Outlook (or similar email environment)
  • Experience using project management software such as Basecamp, Microsoft Project, or similar platforms
  • Project and process coordination experience and knowledge of print production process is preferred, but not required

Education and Experience:

  • At least 5 years’ experience in a formal Project Manager role working on enterprise-wide initiatives (PMP certification and/or formal training preferred)
  • Familiarity with a marketing/print production agency environment is preferred
  • Demonstrated well-developed strategic thinking and a customer service orientation
  • Strong experience in successfully managing the creation of deliverables across a variety of significant cross-functional projects in parallel
  • Ability to quickly understand enterprise and business segment processes
  • Well-developed ability to build trust and strong relationships with customers
  • Must have excellent organizational, time management, and planning skills with strong attention to detail, exceptional interpersonal skills and keen problem-solving skills
  • Well-developed ability to effectively communicate with all levels of the organization including senior leadership, usually through oral and written presentations
  • Expert knowledge of MS Project and MS Excel, and proficient in PowerPoint and Word
  • Pre-employment drug screen and background check required
