The Executive Assistant (EA) provides high-level support to members of MRO’s Executive Leadership Team (ELT). This role is critical in enabling the ELT to focus on strategic leadership by ensuring seamless operations, clear communication, and well-coordinated priorities. The EA will manage sensitive and confidential information, shifting priorities, and complex schedules with professionalism and discretion. Success in this role requires adaptability, strong organizational skills, and the ability to thrive in MRO’s fast-paced, growth-driven environment. This position reports directly to the Chief People Officer and operates within a collaborative, team-oriented environment.
TASKS AND RESPONSIBILITIES:
Manage scheduling and calendars for designated ELT members.
Coordinate complex travel arrangements.
Draft, review, and send communications on behalf of executives.
Organize and prepare materials for meetings, including executive and board-level meetings, coordinating logistics and presentations, and tracking follow-up items.
Plan and coordinate small meetings and events that support executive priorities, collaborating with internal stakeholders as needed.
Prepare slide decks for company meetings, proactively gathering information from executives.
Maintain organized records and documents for executives.
Manage expense reporting and reconciliation for designated ELT members.
Respond promptly to calls, emails, and messages, ensuring accurate and timely communication.
Prioritize tasks and set clear expectations for assigned responsibilities.
Collaborate and communicate effectively with other company Executive Assistants.
Provide support on special projects and ad hoc meeting requests.
SKILLS|EXPERIENCE:
Bachelor’s degree preferred.
7–10+ years of experience supporting senior executives required.
Proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint) and SharePoint.
Exceptional written and verbal communication skills.
Strong organizational skills, with the ability to manage multiple priorities and deadlines.
High attention to detail, with the ability to balance both big-picture needs and finer details.
Ability to anticipate executive needs, act with discretion, and maintain confidentiality.
Strong interpersonal skills and a professional demeanor.
Comfortable working in a collaborative, team-oriented environment.
