We are seeking a proactive and detail-oriented Administrative Assistant to join our growing team! This role is a true jack of all trades position that will provide critical support across IT, administration, and HR. The ideal candidate thrives in a dynamic environment, enjoys learning new systems, and takes pride in keeping operations running smoothly. This is a full-time, on-site position based in our North Austin office. You will play a key role in ensuring smooth day-to-day operations for our IT department and firmwide technology needs.
Responsibilities
As an Administrative Assistant, you will provide organizational, technical, and administrative support to the firm. Your responsibilities will include:
Administrative & Office Support
- Manage scheduling, calendars, and meeting logistics for team leaders.
- Prepare reports, spreadsheets, and presentations as needed.
- Maintain organized digital and physical records (contracts, assets, files).
- Support office operations, including supplies, vendors, and general coordination.
- Assist HR with onboarding paperwork, employee communications, and event coordination.
- Help schedule interviews and support recruitment logistics.
IT & Operations Support
- Assist with onboarding employees with hardware setup and account provisioning.
- Track software licenses and user access lists.
- Maintain IT inventory records and warranties.
- Help monitor IT service requests and route to the appropriate team member.
- Provide basic troubleshooting support and escalate as needed.
Qualifications
- Bachelor’s Degree preferred (preferably in Business Administration, Information Systems, or a related field).
- 1+ years’ experience in an administrative, coordinator, or support role (experience in IT or technology-focused departments is a plus).
- Strong organizational skills with excellent attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) required.
- Tech- saavy and comfortable learning new systems.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong communication and interpersonal skills with a collaborative, team-first mindset.
- Comfortable maintaining confidentiality and handling sensitive information.
