Position Summary
WSH Management is currently hiring for a full-time Office Assistant at One Lake Family Apartments, a 190-unit tax credit apartment community located in Fairfield, CA. This role supports the onsite team with a range of administrative and resident-facing responsibilities, including leasing and touring available units, processing applications, handling phone and in-person inquiries, assisting with and conducting annual recertification, and maintaining compliance with tax credit program requirements. The ideal candidate will have strong organizational and communication skills, excellent customer service, and proficiency in Microsoft Office (Outlook, Excel, Word); experience with Yardi and Voyager is highly preferred. Prior property management or multifamily housing experience and knowledge of affordable housing programs are a plus.

Office Assistant Job Duties:
The Office Assistant is responsible for assisting the Property Staff with inter-office operations within the apartment community or development for owners or property management firm by performing the following duties personally.
• Receive all telephone calls and in-person visits. Listen to resident requests, concerns and comments.
• Greet prospects and qualify by covering all criteria (ask questions; utilize completed guest cards, etc.).
• Immediately record all telephone and in-person visits on appropriate reports.
• Demonstrate community and apartment/model and apply product knowledge to client’s needs by communicating the features and benefits; close the sale.
• Have prospect complete application and secure deposit in accordance with the company procedures and Fair Housing requirements.
• Secure new resident signature(s) on appropriate paperwork prior to move-in.
• Orient new residents to community.
• Represent the company in a professional manner at all the times.
• Operate computers programmed with accounting software to record, store and analyze information.
• Understand the lease agreement and application.
• Comply with federal, state and company policies, procedures and regulations.
• Operate 10-key calculators, copy and facsimile machines to perform calculations, produce and distribute documents.
• Assist in lease transactions by typing leases, gathering applicant’s history and credit approvals.
• Assist with maintaining compliance with all applicable Affordable Housing programs.
• Provide general clerical assistance to community office
• Enforce policies of the community.
• Assist in placing, removing/updating banners, balloons, bandit signs, flags, etc.
• Distribute newsletters, pamphlets, flyers, etc.
• Assist in conducting market surveys and shop competitive communities.
• Ensures that unsafe conditions are corrected in a timely manner.
• Daily review of all emails and respond as necessary within 24 hours.
• Other duties as assigned to support the success of the property and team.
Abilities:
High School Diploma or equivalent required; some college preferred
Must possess a valid Driver’s License, reliable transportation, and current auto insurance coverage, as this position may require some driving for company business
A minimum of one year of experience in a customer service–related industry, apartment leasing, or a combination of accounting skills/education with customer service experience preferred
Competence in operation of telephone, business calculator, copy machine, facsimile, personal computer/keyboard, Microsoft Office including Word, Excel and MS Outlook, and community software
Strong command of the English language, including proper grammar, spelling, and sentence structure
Strong writing and proofreading skills
Thorough understanding of the English language and ability to communicate effectively with others
Must possess strong attention to detail and sales ability
Demonstrate an ability to support and contribute to the community team
Demonstrate ability to diffuse and respond to customer concerns to avoid escalation
Must possess a positive attitude and the ability to smile under all circumstances
Neat, clean, and professional at all times throughout the workday and/or whenever present at the community
Comply with expectations as demonstrated in the employee handbook
Ability to work a flexible schedule
Participate in training in order to comply with new or existing laws
Office Assistant Qualifications/Preferred Experience:
Must pass background and drug screening (a conviction does not automatically disqualify you)
High School Diploma or equivalent required; some college preferred
Minimum one year of customer service or apartment leasing experience preferred, or a combination of accounting education and customer service experience
Strong attention to detail and sales ability
Ability to support and contribute to the community team
Strong written and verbal communication skills in English
Proficiency in Microsoft Word, Excel, Outlook, and property management software
Professional appearance and demeanor at all times
Valid Driver’s License, reliable transportation, and current auto insurance (may require driving)
Availability to work a flexible schedule
Ability to resolve resident concerns professionally and in alignment with company policies
Participate in required training to remain compliant with applicable laws
