Major responsibilities:

This position is responsible for coordinating the many logistical components of producing a wide range of MTA events and conferences, including scheduling, registration, promotion, presenter support, committee support, tracking and evaluation. The role requires coordinating participant and presenter logistics for on-site events as well as hosting and technical support for virtual/hybrid convenings. The Events Specialist also provides support for content development of training and professional learning programs and ensures the smooth operation of the division by providing administrative support.

Essential Job Functions:                                                                                                                  

  • Assists divisional manager and training staff in the planning, promotion, and evaluation of training events, including conferences, workshops, webinars, and other meetings or convenings.
  • Implements and maintains systems, using various technology platforms, for scheduling, registration, participant tracking and analysis, and evaluation, staying up to date with new technologies as they evolve.
  • Organizes and maintains systems for coordinating events (master excel spreadsheet, interdivisional and cross-divisional Teams communication, mobile text thread while onsite).
  • Serves as the point person on logistics for on-site events and as host/technical support for virtual/hybrid events.
  • Assists divisional manager and training staff in developing and managing a growing library of print, online and multimedia training materials.
  • Maintains records of member participation in training and professional development to provide certification of member continuing education units and to track the reach and effectiveness of the division’s programs.
  • Provides diversified administrative support.
  • Provides staff assistance to the TPL Committee, as needed, and other committees responsible for the various conferences and events.

Specific Responsibilities:          

  • Assists division training staff and other subject matter experts to produce presentation and instructional materials. Takes draft materials and creates polished documents, slides, infographics, etc.
  • Creates online registration websites, evaluation instruments, and related items for conferences, events, and meetings.
  • Helps produce and posts training and professional development materials and media on the SharePoint Intranet, and other platforms for distribution to staff trainers and developers.
  • Analyzes events data and trends in member engagement.
  • Creates and maintains reports to track event budgets, make recommendations for savings and improvement, and runs reports as necessary.
  • Ensures that all media are correctly versioned and conform to association style, branding and standards.
  • Tracks the usage of all materials and media.
  • Maintains online catalogs and online calendars of division training and professional learning programs.
  • Proofreads documents for accuracy and completeness.
  • Runs reports related to training participation, and evaluation.
  • Orders food for MTA events and meetings and assists MTA staff with food orders.
  • Provides members with certification of MTA-sponsored continuing education and professional development credits earned.
  • Bills school districts, local associations, and/or individuals for program fees and expenses.
  • Processes requests for payments for presenters, collects and processes financial paperwork for expense reimbursements.
  • Closely monitors the use of grant monies and keeps meticulous records to report to granting agencies and foundations. 
  • Updates an online archive of books utilized in the MTA Reads Program.
  • Keeps up with trends and improvements in office technology and in the area of instructional and presentation technology.
  • Performs routine administrative duties including mail, phone, copying and ordering office supplies.
  • Attends conferences and meetings as required.
  • Maintains confidentiality of association affairs.
  • Provides assistance to other divisions/departments as required.
  • Assists in preparation of special projects as assigned.
  • Performs other related duties as required.

Qualifications:  

  • Commitment to the pro-union, pro-public education mission of the MTA.
  • At least three years of related experience, including event planning, marketing, project management, and adult education.
  • Proficiency with (or demonstrated ability to learn) Microsoft Office 365 for Business (including SharePoint).
  • Familiarity with CRM (Customer Relationship Management) database programs and demonstrated ability to learn the MTA membership database (NEA360, a Salesforce CRM platform).
  • Familiarity with registration software required; proficiency with Cvent registration software and certification a plus.
  • Proficiency in virtual meeting/event platforms (Zoom, Teams, etc.) and presentation design software (such as PowerPoint). (Suggestion: tech all in one line)
  • Demonstrated ability to set priorities and meet multiple deadlines in a fast-paced work environment.
  • Exhibits a positive, collaborative attitude - able to work collaboratively with staff.
  • Takes initiative in identifying and resolving issues, including technology troubleshooting, a problem solver.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to deal effectively and diplomatically with members, staff, vendors, and consultants.
  • Ability to work evenings and weekends as needed.
  • High school diploma required; college background preferred.
  • License and car or alternative personal transportation required for in-state travel.
  • Ability to lift up to 20 lbs.
