Job Title: Customer Service Order & Production Coordinator - Thermal Spray
Classification: Full-time, Hourly Non-Exempt
Reports To: Customer Service Manager
Location: Kymera – CASL Houston
Job Overview
The Customer Service Order & Production Coordinator supports the full lifecycle of customer orders, from quote generation through work order management and BOM accuracy, while serving as the primary liaison between operations, sales, production teams, and customers. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. Daily tasks include quote generation, creating work orders, create and update BOMs, completing work order folders, entering accurate data, customer interaction and management, working with the sales and production teams to facilitate the work order lifecycle, troubleshoot issues, expedite orders, scrap management process, and special requests.
The ideal candidate will have experience in a production or machine shop environment, proficiency with contract review and customer service processes, and the ability to troubleshoot and resolve issues quickly.
Responsibilities
- Quote Management & Pricing Calculations: Generate customer quotes, manage pricing calculations and related communications.
- Conduct contract reviews and ensure accuracy in documentation.
- Create and maintain work orders, work order folders, and associated paperwork.
- Create and update bills of materials (BOMs) for accuracy and cost validation.
- Maintain consistent communication with sales and customers regarding job updates, reports, and questions.
- Liaise with sales, technical, and operations teams to facilitate workflow and resolve issues.
- Partner with production teams to troubleshoot, expedite orders, and support special requests.
- Facilitate communication and collaboration between customers and the operations teams.
- Daily follow-up with sales for PO corrections, update items, and pricing entry.
- Order Management - Creation of work orders, contract review, and associated paperwork.
- BOM management – Creating and updating BOMs for accuracy and cost validation.

Requirements
Required Skills and Abilities
- 2 years’ experience in customer service, sales support, or estimating (quote generation) in a manufacturing or machine shop environment; familiarity with HVOF systems preferred.
- Ability to read and interpret engineered drawings.
- Prior experience in Administration, Sales, or Customer Service and comfortable communicating to external parties is preferred.
- Strong customer service, administration, or sales experience with external communication skills and proven track record of providing timely and dependable updates and solutions for customers.
- Demonstrated ability to provide timely updates and solutions to customers.
- Excellent attention to detail, accuracy, and organizational skills.
- Strong written and verbal communication abilities.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Ability to work effectively with colleagues at all organizational levels.
- Flexibility and ability to adapt to change.
- Valid driver’s license required.
- Must be legally authorized to work in the United States.
Education and Experience
- High school diploma or equivalent required; Associate degree in Machining, Engineering, or related field preferred.
- Minimum of 2 years of experience in a production environment.
- Experience in oil and gas or related industries is preferred but not required.
- Technical training or post-secondary coursework preferred.
Physical Requirements
- Ability to traverse the production facility and lift up to 25 pounds as needed.
- Sit and stand an average of 8hrs a day.
