STATUS: FULL-TIME, EXEMPT (8AM TO 4PM)

Position Overview: 

The Executive Assistant to the Head of School plays a crucial role in supporting the Head of School in all administrative and operational functions. This position requires a highly organized, proactive, and adaptable professional with exceptional communication skills, attention to detail, and the ability to handle sensitive matters with discretion. The Executive Assistant manages a dynamic workload, prioritizes tasks, and works collaboratively with faculty, staff, and external partners to ensure the smooth operation of the school.

 

Professional Duties:

  • Administrative Support:
    • Provide high-level administrative support to the Head of School, including managing schedules, arranging meetings, coordinating travel, and handling correspondence.
    • Organize and maintain the Head of School's calendar, ensuring the effective use of time and preparation for meetings, events, and appointments.
    • Prepare and manage presentations, reports, and other documents for meetings, school events, and board presentations.
  • Communication:
    • Serve as the first point of contact for the Head of School, representing them professionally and courteously to internal and external stakeholders.
    • Handle confidential information with integrity and professionalism.
    • Draft, proofread, and send out communication on behalf of the Head of School as needed, including internal memos, external correspondence, and communications to parents or the community.
  • Meeting & Event Coordination:
    • Schedule, prepare agendas, and take minutes for meetings with the Head of School, including meetings with faculty, staff, parents, the Board of Trustees, and other school stakeholders.
    • Assist in organizing school events, board meetings, and other special functions as requested by the Head of School.
    • Manage logistics for school visits, conferences, and speaking engagements for the Head of School.
  • Project Management:
    • Assist with special projects, school initiatives, and strategic planning efforts.
    • Work on research and data gathering to support school operations and decision-making.
  • Board & Governance Support:
    • Prepare materials for Board meetings and assist in organizing Board-related activities.
    • Serve as a liaison between the Head of School and the Board of Trustees.
  • General Office Management:
    • Oversee the smooth operation of the Head of School’s office, including ordering supplies, maintaining files, and handling other office-related tasks.
    • Ensure the Head of School's office runs efficiently and is a well-organized environment.

Qualifications:

  • Bachelor’s degree or equivalent experience in a related field.
  • Minimum of 3-5 years of experience in an executive assistant or administrative support role, preferably in an educational or nonprofit environment.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills and the ability to multitask in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite.
  • Demonstrated ability to handle sensitive information with confidentiality and professionalism.
  • Strong problem-solving skills, attention to detail, and ability to prioritize tasks effectively.
  • Ability to work independently and as part of a team.
  • A positive and proactive attitude, with the ability to manage competing priorities.
