Job Summary
Pacific Cycle is now hiring an HR Generalist for our Madison, WI office! This position is responsible for the hands-on execution of core HR operations and processes that support the employee lifecycle. This role focuses on the day-to-day delivery of HR services, including recruiting coordination, onboarding, HRIS and data management, benefits and leave administration, and compliance support. As the primary point of contact for employee inquiries, the HR Generalist ensures timely and accurate HR support while maintaining data integrity and adherence to policy. This role works closely with the HR Business Partner to implement talent programs and with the Director of HR to ensure alignment with broader organizational goals.
This role is based out of Madison, WI corporate office and is eligible to participate in the company's Hybrid work program; working in the office 3 days and eligible to work remotely 2 days.
Responsibilities
HR Administration & Compliance
- Manage and maintain accurate employee records, processing all HR transactions including new hires, promotions, title changes, salary adjustments, and terminations.
- Manage and oversee the company Affirmative Action plan and other necessary compliance measures.
- Oversee data integrity in HRIS an ongoing basis; run, review, and file HR reports for internal and external needs; partner with the HRIS analyst to address system-related needs or enhancements.
- Review timekeeping and employee records weekly; support payroll accuracy and train managers/employees on timekeeping processes.
- Manage the HR communication inbox, prepare and distribute organizational announcements, and coordinate HR-related communications to employees in a timely and professional manner.
- Administer record retention practices, including personnel files, E-Verify, I-9, self-identifications, and employee signoffs.
- Manage immigration processes in partnership with counsel and maintain required records.
- Ensure compliance with federal, state, and local employment laws, as well as company policies.
- Execute and manage benefits in partnership with HR shared services on insurance plans, 401(k) plan, flexible and health spending accounts, and all other employee related benefits.
- Work with third-party administrator on managing accommodation requests, RTW requests, and any other benefits communications for the Company.
Talent Acquisition
- Execute full-cycle recruitment for assigned roles, including job postings, candidate sourcing, attend career fairs, screening, and interview coordination.
- Maintain applicant tracking system (ATS) data integrity and ensure recruiting documentation is complete and audit-ready.
- Partner with hiring managers to ensure timely and effective hiring processes.
- Conduct background checks and manage adverse action communications.
- Build and execute onboarding plans for new hires (regular and temporary) in partnership with managers. Coordinate onboarding logistics
- Facilitate new hire orientations
- Manage relationships with temporary staffing agencies, including contracts, invoicing, and service quality.
- Maintain and update job descriptions in partnership with hiring managers, ensuring formatting consistency and proper documentation for recruiting and compliance purposes.
Employee Relations & Engagement
- Serve as the first point of contact for employee relations questions, escalating complex or high-risk issues as appropriate
- Support administration of new-hire check-ins, engagement surveys, and exit interviews; collect and report data for HRBP analysis.
- Coordinate local employee engagement initiatives and recognition/milestone programs.
- Support site safety initiatives, investigations, and reporting.
Training & Development
- Serve as LMS administrator, ensuring accurate setup, tracking, and reporting of all employee training compliance
- Support implementation of training and development programs led by HRBP or external vendors
- Track completion of performance management and development-related training requirements
Other Duties as Assigned
- Follow internal controls and company policies as set by the Company and job function.
- Assist with other projects and tasks, including outside functional area as assigned.
Minimum Requirements
- Must be legally authorized to work in the United States
- Bachelor’s degree in Human Resources/Business or related field
- Two years’ experience within HR OR equivalent combination of education and experience
- Experience with Dayforce or other HRIS platforms, and proficiency with applicant tracking systems (ATS).
- Excellent verbal, written, interpersonal, and presentational skills.
- Strong knowledge of applicable employment & labor law.
- Strong analytical, critical thinking, and problem-solving skills.
- Ability to build relationships and communicate effectively with coworkers, leadership, and outside vendors.
- Strong knowledge of Microsoft Office (Word, Excel, Powerpoint)
Environmental Factors
- A large percentage of work time is spent sitting in a climate-controlled office environment where noise level can be moderate.
- During events you may be on your feet for 5 or more hours.
