Description

The Operations Coordinator is the glue of the Remote Care/RPM team, ensuring smooth day-to-day operations and preventing higher-level staff from getting bogged down in administrative tasks. This individual will provide cross-departmental support, manage scheduling and reporting, handle patient intake documentation, and coordinate with both clinical and billing functions.
 

This is a hands-on role that requires strong organizational skills, attention to detail, and the ability to juggle multiple priorities in a fast-paced healthcare environment.


Primary Purpose

To provide comprehensive administrative and operational support across the Remote Care/RPM division. The Operations Coordinator will keep workflows running smoothly by managing scheduling, intake processing, reporting, and team coordination.


Key Responsibilities

Scheduling & Support

- Manage calendars for patient appointments, staff schedules, and provider onboarding.
- Coordinate meetings, trainings, and team events across departments.
- Serve as the central point of contact for scheduling-related inquiries.

Administrative Tasks

- Prepare and distribute reports, presentations, and dashboards for leadership review.
- Handle patient intake documentation, consent forms, and eligibility verification.
- Maintain organized records, correspondence, and filing systems (electronic and paper).
- Support HR-related tasks for the division (timesheets, onboarding paperwork, etc.).

Data & Reporting

- Assist with pulling operational and patient care data from systems (EHR, RPM platform, CRM).
- Track and maintain logs of key performance metrics, ensuring data accuracy.
- Provide weekly and monthly reporting to the Director/VP.

Cross-Department Coordination

- Support the Billing & Credentialing Manager with data entry, document collection, or follow-ups.
- Assist the Patient Care Manager with staff onboarding, training coordination, and patient-facing workflows.
- Act as liaison to ensure smooth communication between patient care, billing, and leadership teams.

Process Improvements

- Identify bottlenecks in workflows and propose solutions to increase efficiency.
- Maintain process documentation and update SOPs as directed.
- Serve as a flexible resource for special projects, pilots, or ad-hoc initiatives.




 

Requirements

 

Experience
- 2+ years in healthcare administration, operations, or a similar support role.
- Familiarity with scheduling software, EMRs, or telehealth platforms a plus.
- Experience supporting multiple stakeholders/departments simultaneously.
 

Skills
-  Strong organizational and time-management skills.
- Excellent written and verbal communication.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace.
- Comfortable handling confidential patient and company information (HIPAA compliance required).
- Problem-solving mindset with willingness to take initiative.
