The Opportunity
The Executive Assistant will provide high-level administrative and operational support to the Chief Executive Officer (CEO), Chief Financial Operating Officer (CFOO), and Chief of Health and Human Services Officer. This position plays a critical role in ensuring seamless day-day coordination among the executive leadership team and across Greenwich House’s operations. The ideal candidate is highly organized, adaptable, and thrives in a fast-paced, driven environment.
Responsibilities
Executive Support
- Manage complex calendars, scheduling, and daily workflows for the CEO, CFOO, and CHHSO, including prioritizing and resolving scheduling conflicts.
- Serve as a liaison for internal and external communications, exercising sound judgment and discretion.
- Prepare executive-level correspondence, reports, memos, presentations, and briefing materials.
- Coordinate domestic travel and handle logistics for off-site meetings and events,
- Process reimbursements and track executive expenses in accordance with organizational policies.
Operational & Project Coordination
- Support the CEO and Executive Team in coordinating GH Board meeting and committee meeting scheduling, logistics, and general management.
- Support the CFOO by coordinating key operational initiatives, ensuring timeliness and deliverables are met across departments.
- Support the CHHSO by managing, updating and maintaining all programmatic operating licensure and certifications.
- Track progress on cross-departmental projects and provide administrative support for organization-wide operational systems and priorities.
- Help monitor and communicate deadlines, upcoming meetings, and action items across leadership team.
Meeting & Event Management
- Organize and manage logistics for internal meetings, board meetings, and special events-including agenda preparation minutes taking and follow-up.
- Coordinate with stakeholders to ensure timely preparation of materials and effective communication of outcomes.
Office & Information Management
- Maintain files, databases, and records for executives, ensuring confidentiality and organization.
- Serves as a point of coordination with administrative staff across departments to support efficient executive operations.
What You’ll Bring
Education & Experience
- High School Diploma, High School Equivalency or Bachelor’s degree or equivalent combination of education and experience.
- Minimum of 5 years of experience in an executive assistant or high-level administrative role, preferably within a nonprofit or complex organizational setting.
- Proven ability to manage multiple high-level stakeholders and competing priorities.
Skills & Competencies
- Experience supporting C-suite executives in a dynamic, multi-service organization.
- Familiarity with nonprofit governance and board meeting preparation.
- Strong interpersonal skills and a collaborative, service-orientated approach.
- A demonstrated commitment to equity, inclusion, and community-focused work.
- Outstanding communication skills-both written and verbal-with attention to detail.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Goggle Workspace, and virtual meeting platforms such as Zoom.
Compensation Range
The expected annual salary range for this position is between $105,000.00 – $110,000.00. This range reflects the anticipated compensation at the time of this posting and may be adjusted based on experience, education, and organizational needs.
